Job Summary:
Supports department leadership and/or Project Manager(s) in gathering equipment, resources and information to implement projects. Maintains meeting and First Responder training schedules, organizes and participates in meetings, and ensures all project deadlines are met.Job Description:
Essential Duties and Responsibilities:
- Maintains and monitors project plans, project schedules, work hours, budgets, and expenditures.
- Monitors and maintains Frontline Strong Together website, including capturing and recording data; tracking and making additions, deletions, and other revisions; makes suggestions for revisions to the team.
- Coordinates and schedules required training sessions for project team and external stakeholders, including First Responder Peer Support teams.
- Processes implementation and monitors continuing education credits for mental health providers and First Responders.
- Represents the department/project team in presentations, conferences, meetings and trainings.
- Prepares necessary presentation materials for meetings, presentations, conferences, and trainings.
- Works with the project manager in securing independent contractor agreements with external stakeholders.
- Prepares project invoices.
- Organizes, attends, and participates in stakeholder meetings.
- Documents and follows up on important actions and decisions from meetings.
- Tracks project changes and ensures project deadlines are met.
- Provides administrative support as needed.
- Assists with development of project strategies.
- Ensures projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Assesses project risks and issues and provides solutions with the project manager, where applicable.
- Facilitates meetings where appropriate and distributes minutes to all project team members.
- Functions as an expert resource when assisting others in new and existing training requirements and other project processes.
- Collaborates with departmental/team representatives and external stakeholders to develop and implement new program initiatives.
- Other related duties as assigned.
Education, Licensure/Certification, and Training:
- Associates Degree or High School Diploma or GED with equivalent combination of years of experience and education in project coordination/management.
- Three (3) years – Four (4) years of experience in at least two of the following areas: project management/coordination, process improvement, business/financial management, and/or other related field preferred.
Skills and Abilities:
- Exceptional verbal, written, and presentation skills.
- Ability to work effectively both independently and as part of a team.
- Experience using computers for a variety of tasks; Competency in Microsoft applications including Word, Excel, PowerPoint and Outlook.
- Strong commitment to customer service and excellence in healthcare.
- Positive attitude with an eye for detail.
- Willing to travel to Michigan locations.
- Possesses team experience, leadership skills, collaborative approach to solving problems and proven successes in implementation of team goals.
- Must have strong organizational skills.
- Effective communication methods and the ability to work with all levels of the organization.
- Ability to work within tight deadlines and timelines, with proven experience in meeting goals on time.

Working Conditions/Schedule:
- 20 - 40 hour work week, hours and days to be determined by the business needs of the department. Additional hours may be required.
