The Account Service Coordinator (ASC) will provide day-to-day operational and administrative support for Energy accounts and serve as a key liaison between brokers, insureds, underwriting, premium audit, claims, accounting, and third-party administrators (TPAs). The role will assume responsibility for many of the service-related activities currently performed by the existing employee and will help ensure continuity of service for a substantial book of business.
Key Responsibilities
New Business and Renewal Support
- Coordinate onboarding activities for new accounts, including gathering and distributing required account information.
- Facilitate communication between brokers, insureds, underwriters, TPAs, claims personnel, and other internal business partners.
- Assist with account setup and servicing requirements.
- Support renewal activities by addressing service-related inquiries and coordinating account updates.
- Verify that TPAs and other service partners have received necessary information for both new and renewal business.
Premium Audit and Deductible Billing
- Assist with premium audit and deductible billing inquiries.
- Coordinate discussions among underwriting, premium audit, brokers, and insureds to resolve audit questions and disputes.
- Collect and organize supporting documentation needed for audits and billing reviews.
- Review audit and deductible billing documents for completeness and accuracy prior to distribution.
- Assist brokers and insureds in understanding audit results and billing documentation.
- Support the resolution of nonproductive audits and billing discrepancies.
- Partner with collections and accounting teams to address payment issues and system variances.
Accounting and Billing Support
- Provide documentation and policy information to support collections efforts.
- Assist with outstanding receivables inquiries and invoice-related questions.
- Work with brokers and internal stakeholders to research and resolve billing discrepancies.
- Support identification and resolution of system-related accounting variances.
Claims and TPA Administration
- Verify TPAs have received required policy documentation and claim information.
- Serve as a point of contact for claim status requests and coverage-related inquiries.
- Coordinate resolution of service issues involving insureds, brokers, TPAs, and claims partners.
- Assist with system access requests and troubleshooting efforts involving claims platforms and internal systems.
- Monitor and support ongoing claim administration activities as needed.
Legacy Account Support
- Assist with inactive claim reviews and ongoing legacy account administration.
- Support collection efforts by providing historical account documentation and receivable information.
- Research historical policy information as needed to support business operations.
Skills and Experience Required:
• A Bachelor's degree and a minimum of 1-2 years of experience in claims or casualty insurance experience preferred
• Comprehensive knowledge of binders, policies and coverages within the insurance industry
• Excellent multi-tasking, organizational skills as well as able to quickly diagnose critical issues that should be escalated for immediate attention
• Possess planning and negotiation skills, and strong verbal, written, and interpersonal skills
• Ability to work in fast paced environment
• Team oriented attitude and approach
• Comfortable working directly with underwriters, brokers, and insured's
• Advanced proficiency in computer applications: Excel, Word, and PowerPoint
Business Justification
This replacement position is critical to maintaining service levels within the Energy Profit Center. The departing employee currently supports approximately 140 accounts, and redistributing this workload among existing staff would create capacity concerns and negatively impact service responsiveness, audit support, billing administration, and claims coordination. The ASC role will ensure continuity of service, maintain operational efficiency, and allow Account Service Managers and Underwriters to focus on larger, more complex Energy accounts while ensuring that accounts with premiums of $400,000 and below receive appropriate servicing and support.
This replacement is not intended to add headcount but rather to maintain the current level of service and operational support required for the Energy book of business.
