Responsibilities:
General responsibilities
- Assist Senior Finance Officer (SFO) and Deputy Finance Manager (DFM) in accounting and financial control as per NPA policies, rules and regulations (Financial Handbook), the financial guidelines, and the national Law.
- Assist SFO and DFM in preparations of vouchers, scanning and uploading of posted documentation.
- Assist SFO and DFM in preparations of bank payments, posting and reconciliation of payments.
- Communicate on daily basis with Logistics department to ensure timely receiving of original financial documentation related to procurements.
- Maintain records of incoming and outgoing supplier documentation, ensuring proper tracking and filing. Manage the dispatch of documents to suppliers by mail.
Specific duties
- Ensure adherence to NPA and donor policies, guidelines and procedures in addition to adherence to relevant national and local legislation especially local tax law and tax reporting.
- Assist SFO and DFM in timely preparing of vouchers, ensuring that all supporting documents are provided by Logistic department and attached to the vouchers.
- Asist SFO in preparation of bank.
- Assist SFO and DFM in ensuring that all documentation submitted by logistics is controlled and in accordance with national, NPA and donor´s policies and procedures.
- Communicate on daily basis with Logistics department to ensure that all required financial documentation from NPA suppliers is received timely.
- Conduct timely scanning and documentation and assist Finance Officer in uploading of documentation into NPA financial system.
- Assist SFO, DFM and FM during internal and external audits in-country and follow up on recommendations.
- Assist SFO, DFM and FM in managing the cash flow and ensure there is adequate cash in-country for activities/operations.
- Provide practical recommendations to SFO, DFM and FM as to improve internal control weaknesses and inefficiencies.
- Ensure that fully understand NPA QMS and donor policies and procedures related to his/her position.
- Report to Line Manager(s) any irregularity noticed in documentation submitted for cash claims and other cash payments.
- Conduct other duties as assigned by Line Manager and additional reporting lines.

Required qualifications:
Must have:
- University degree/diploma in Economics, Business Administration, Accounting or other Finance related field.
- Good knowledge of English - both speaking and writing.
- Strong computer skills including proficiency in Microsoft Office.
- Ability to work in accounting computer programs is desirable.
Experience:
- Minimum one year of experience in role relevant to accounting, payroll, cash handling or other relevant field, preferably (but not exclusively) in the humanitarian sector.
- Experiences with accounting systems and payments are desirable.
Personal Competencies:
- Strong communication and interpersonal skills.
- Systematic and organized in approach, including accuracy, consistency, and attention to detail, tenacity, and the ability to work under pressure.
- Ability to meet deadlines and work calmly under pressure with limited supervision.
Additional Considerations:
The Finance Assistant is to abide by the policies and personal code of conduct set by the NPA and represent the organization loyally and responsibly.
Any other task or duty as assigned by the line manager.
