POSITION SUMMARY:
The Coordinator, Groups & Events is responsible for maximising revenue opportunities through the sales and coordination of hotel accommodation, MICE facilities, and Food & Beverage services to corporate clients, MICE agencies, tour operators, and travel agents.
The role involves managing existing accounts and sales channels while supporting the implementation of sales strategies aimed at driving Group Hotel Bookings and Meetings, Incentives, Conferences and Events (MICE) business. The Coordinator actively develops and nurtures client relationships to generate new business opportunities and enhance customer satisfaction.
The Coordinator contributes to the achievement and exceeding of annual sales and revenue targets by providing effective sales support, ensuring seamless client service, and maximising conversion opportunities across all assigned market segments.
PRIMARY RESPONSIBILITIES:
- Solicits MICE and Group Business (including Group Hotel Bookings, Meetings, Incentives, Conferences and Events) from accounts within the assigned territory through sales calls, telemarketing, email communications, networking, and client entertainment activities.
- Manages existing accounts through effective relationship building, proactive account management, contract administration, exceptional service delivery, and post-event follow-up.
- Prepares and submits tailored proposals, responds to client enquiries within 24 hours, and negotiates pricing, terms, and contractual agreements to maximise revenue opportunities.
- Coordinates all event logistics by preparing Banqueting Event Orders (BEOs) and rooming lists, and liaising closely with operational departments including Front Office, Food & Beverage, Reservations, Security, Health & Safety, and Entertainment to ensure seamless event execution.
- Contributes to the achievement of departmental objectives, including revenue, EBITDA, and service quality targets, through effective management of assigned accounts and business opportunities.
- Prepares and submits required sales reports and deliverables, including weekly activity reports, monthly production reports, and business forecasts.
- Maintains accurate and up-to-date client and prospect records within the CRM system (Delphi), ensuring all account activities, opportunities, and communications are properly documented.
- Organises and conducts site inspections and familiarisation visits for prospective clients, showcasing the resort's facilities and services.
- Builds and maintains strong relationships with key stakeholders, clients, and business partners to drive repeat business and long-term account growth.
- Carries out any other duties and responsibilities as assigned by Management.
QUALIFICATIONS:
Experience
Minimum of two (2) years of experience in Sales and/or Events Management within the hospitality industry.
- Strong knowledge of key hotel and MICE market segments within the region, with proven experience in developing and implementing targeted sales strategies.
- Established network and existing relationships with corporate accounts, MICE agencies, tour operators, and travel agents.
- Demonstrated success in identifying, developing, and converting new business opportunities into profitable client relationships and revenue-generating accounts.
Education
- Degree from a major, accredited institution in the fields of hospitality, marketing, business administration or relevant
Skills / Competencies
- Mature presentation style and comfortable interacting at all levels, both internally and externally
- Excellent command of English; Greek and other languages will be considered as an advantage
- Expert proficiency in Microsoft Excel, Word and PowerPoint
- Strong project management skills
