The Snapshot
You'd be joining the People & Payroll team inside a growing Australian community services organization. The organization is NDIS-approved and supports people through disability, youth and community services, and runs a central team that looks after HR, payroll and compliance for the whole group.
You'd report to the Chief People & Operations Officer and work within established systems and procedures rather than setting policy: every payroll run and any decision outside the usual process gets checked and signed off before it's finalized. It's a role with real day-to-day ownership, just within clear guardrails.
This role is based in the Philippines, working full-time hours aligned to Australian business hours.
What You'll Actually Do
Payroll
- Process payroll end to end each pay cycle: checklists completed and reviewed, then signed off by your manager before anything is finalized
- Apply the correct pay rates, entitlements and superannuation under the relevant Australian award (most commonly the SCHADS Award, which covers most community, disability and aged care roles), flagging anything unclear rather than guessing
- Prepare and lodge superannuation payments accurately and on time, every cycle
HR and employee records
- Keep employee records accurate and current in the HR and payroll systems: new starters, changes, leave and terminations
- Monitor the shared payroll and HR inboxes, handle routine items yourself, and flag anything that needs a decision
- Answer everyday HR and payroll questions from staff, and pass on anything outside the usual process
Recruitment, onboarding and offboarding
- Prepare employment contracts and letters using approved templates
- Coordinate onboarding and offboarding in the HR system, making sure all the paperwork is collected and filed properly
Systems, guides and reporting
- Help build and maintain HR and payroll process guides, training material and standard operating procedures
- Support the team maintaining the HR and payroll software: check that pay rates, rules and settings are correct, and flag anything that looks off
- Pull together monthly reporting on payroll and HR activity
Culture and compliance support
- Support onboarding and day-to-day guidance for new starters and more junior team members
- Help organize small culture touches like birthdays and work anniversaries
- Assist with performance review scheduling and record-keeping
- Support compliance audits by pulling together the records and information needed
- Keep sensitive employee information confidential, always
What You Need to Bring
- Previous experience in a payroll or HR administration role, including running payroll end to end
- Real experience with Australian award interpretation and superannuation obligations (you don't need to already know the SCHADS Award inside out, but you do need genuine AU payroll compliance experience and a real willingness to learn it in depth), since applying awards correctly is central to this role
- Comfortable using payroll and HR software day to day
- High PC literacy and confident across Microsoft Office
- Excellent organizational skills and the ability to priorities a varied workload
- Strong written and verbal communication, and the ability to build trust and rapport with people at all levels
- A calm, steady approach: comfortable exercising initiative and sound judgement within established procedures, without overstepping them
- Excellent attention to detail and accuracy, even when things get busy
