Appointment Type: Permanent part-time, 0.6 FTE – Monday, Tuesday and Friday, with availability required between 8:00am and 6:00pm on these days
Salary Package: From Grade 3, Step 1 – base salary $67,182.00 per annum (pro-rata for part-time) as per our Enterprise Agreement, plus 12% superannuation and access to full salary packaging benefits with Maxxia to maximise your take-home pay.

Macquarie University Health Clinics is seeking an experienced Medical Receptionist and Administrative Assistant to join our specialist clinic team, based at Macquarie University, Wallumattagal Campus, North Ryde. This is a busy, patient-facing environment where the administration team is central to how smoothly the clinic runs and how patients and families experience their care.
The role is well suited to a professional with at least one to two years' experience in a similar medical or allied health administration role, who is comfortable working at pace and can confidently manage competing priorities from day one. You will support clinicians across the full patient journey – from first contact and appointment booking through to billing, claiming and follow-up.
The clinic operates Monday to Friday only, with no weekend work. This position is 0.6 FTE across Monday, Tuesday and Friday, and requires availability between 8:00am and 6:00pm on those days.
About the Role
As a Medical Receptionist and Administrative Assistant, you are often the first person a patient or family meets. You will provide accurate, professional administrative support that allows our clinicians to focus on care, while contributing to a welcoming and well-organised clinic environment. Working closely with clinical and administrative colleagues, you will help ensure every patient interaction is handled with warmth, discretion and attention to detail.
Key areas of responsibility include:
Welcoming patients and families in person and by phone, providing courteous, patient-centred service and responding to enquiries
Managing appointment bookings, waitlists and clinician schedules across the clinic
Preparing and processing accurate and timely billing, including Medicare, health fund and EFTPOS transactions
Maintaining patient records and clinical documentation with strict attention to accuracy and confidentiality
Coordinating day-to-day administrative activity with reception and administration colleagues across Macquarie University Health and affiliated clinics
Completing end-of-day reconciliation of cash and EFTPOS takings and associated banking tasks

About You
You are an enthusiastic, professional and adaptable administrator who enjoys working in a busy clinical setting and takes pride in delivering an excellent patient experience.
To be considered, you will demonstrate:
A minimum of one to two years' experience in a medical reception or medical administration role, ideally within a specialist practice, allied health clinic or hospital setting (previous experience in Allied Health is highly desirable)
Strong computer literacy and confidence using practice management and medical software systems (experience with Genie is advantageous but not essential)
Demonstrated experience with billing processes, including Medicare, health fund and EFTPOS transactions
Excellent verbal and written communication skills, with the ability to build rapport and show empathy towards patients, families and carers
Well-developed organisational and time management skills, with strong attention to detail and the ability to prioritise competing tasks
Ability to work both independently and collaboratively, and availability to work Monday, Tuesday and Friday between 8:00am and 6:00pm.
