The school is seeking an experienced and highly organised Senior Administration Officer to join our professional services team on a fixed-term basis from January 2027 to June 2027 to cover a period of staff leave. This opportunity is also available as a secondment for eligible internal candidates
Working closely with the School Manager, the Senior Administration Officer is a key member of the Executive Support team and provides high-level administrative, operational and project support across a broad range of school activities. This role serves as a central point of coordination for administration, human resources, finance, facilities, events and stakeholder engagement activities, helping to ensure the efficient and effective operation of the School.
The successful candidate will provide expert administrative support, manage complex enquiries and operational matters, contribute to continuous improvement initiatives and maintain strong relationships across the Faculty, University and external stakeholders. This is an excellent opportunity for an experienced administrator who enjoys variety, problem-solving and working in a collaborative and customer-focused environment.
Key responsibilities
Provide high-level administrative and operational support to the school manager and executive support team
manage a broad range of administrative activities, ensuring efficient and professional service delivery to staff, students and stakeholders
respond to complex enquiries and administrative matters, exercising sound judgement, discretion and initiative
provide advice and guidance on university policies, procedures and administrative processes
support school staffing and human resource administration activities, including assisting with hr processes, leave management and policy enquiries
coordinate meetings, events, workshops and conferences, including scheduling, logistics, travel arrangements, agendas and minutes
manage correspondence and ensure matters are appropriately prioritised, actioned and escalated where required
support financial administration activities including invoice processing, purchasing, budget tracking, travel acquittals and reporting
prepare reports, data summaries, presentations and documentation to support decision-making and operational planning
maintain accurate records and ensure compliance with university policies and procedures
build and maintain productive relationships with academic and professional staff across the faculty and university
identify opportunities for process improvement and contribute to initiatives that enhance operational effectiveness
collaborate with administrative colleagues across the faculty and contribute to a culture of continuous improvement and service excellence
undertake other duties commensurate with the classification level of the position.
About you
Relevant tertiary qualifications in business administration or a related discipline, or an equivalent combination of training and experience
demonstrated administrative experience within a large and complex organisation, preferably within the higher education sector
experience providing high-level administrative and executive support in a fast-paced environment
well-developed organisational and time management skills, with the ability to manage competing priorities and meet deadlines
strong problem-solving skills and the ability to exercise sound judgement and initiative
excellent verbal and written communication skills and a commitment to delivering high-quality customer service
demonstrated ability to build effective working relationships with a diverse range of stakeholders
experience supporting financial administration processes, including purchasing, invoice management, expenditure monitoring and reporting
strong attention to detail and commitment to accuracy.
advanced computer skills, including proficiency in Microsoft office and administrative systems
experience working collaboratively within a team environment and contributing positively to workplace culture
a commitment to fostering inclusive, respectful and professional working environments.
