Director of Facilities Management – Multifamily & Affordable Housing
Lead Facilities Operations. Drive Capital Improvements. Protect the Long-Term Value of the Portfolio.
Our client is seeking an experienced Director of Facilities Management to provide strategic leadership across a diverse residential real estate portfolio that includes multifamily housing as well as accessory commercial, retail, and community facilities. This is a high-impact leadership opportunity for a seasoned facilities management, construction, or property operations professional who knows how to balance day-to-day building performance with long-term capital planning, regulatory compliance, and asset preservation.
The Director of Facilities Management will oversee maintenance, building operations, capital improvements, construction projects, vendors, compliance, and facilities technology across multiple properties. This individual will lead and develop a multidisciplinary team, partner closely with Asset Management and Property Management, and serve as a key technical resource to executive leadership.
The ideal candidate brings strong knowledge of multifamily and affordable housing operations, exceptional project and vendor management skills, and the ability to move seamlessly between strategic planning and hands-on problem solving.
What You’ll Do
Strategic Facilities Leadership
- Develop and execute a comprehensive facilities management strategy aligned with organizational goals and the long-term integrity, safety, and value of the real estate portfolio.
- Lead and mentor facilities, maintenance, and building operations teams, establishing a culture of accountability, safety, service, and continuous improvement.
- Oversee and prioritize maintenance, repairs, renovations, and capital projects across multiple asset types and locations.
- Establish operational standards, processes, and performance expectations that promote efficient, cost-effective building operations.
Construction, Maintenance & Capital Projects
- Lead the planning, budgeting, procurement, and execution of capital improvement and construction projects in partnership with Asset Management, Portfolio Managers, and Property Managers.
- Review scopes of work, evaluate bids, and oversee contractor selection for renovation, maintenance, and capital projects.
- Manage project schedules, budgets, quality control, and contractor performance from planning through completion.
- Oversee the performance and maintenance of major building systems, including HVAC, elevators, life safety systems, plumbing, electrical systems, and pest control programs.
- Provide technical guidance on architectural and engineering plans, construction schedules, building systems, project costs, and operational requirements.
- Identify opportunities for preventative maintenance, energy efficiency, building modernization, and long-term asset preservation.
Regulatory Compliance & Risk Management
- Ensure portfolio-wide compliance with applicable local, state, and federal building, safety, housing, and environmental regulations.
- Oversee compliance requirements involving FDNY, DOB, DEP, OSHA, NYCHA, DOHMH, HPD, and other applicable regulatory agencies.
- Develop and implement proactive violation prevention and dismissal strategies to minimize risk, costs, and operational disruption.
- Maintain accurate documentation and oversight of FDNY requirements, including fire extinguisher inspections, range hood permits, place of assembly permits, monthly inspection logs, and related compliance documentation.
- Lead building safety programs, emergency preparedness initiatives, and response planning.
- Identify operational and physical risks across the portfolio and implement corrective action plans.
Vendor & Contract Management
- Develop, negotiate, and manage contracts for maintenance, construction, repair, and building service vendors.
- Establish performance expectations and monitor vendor service levels, quality, responsiveness, and compliance.
- Evaluate contractor and vendor performance and take corrective action when standards are not met.
- Optimize the company’s vendor network and ensure vendor selection and utilization align with procurement policies, operational requirements, and cost-control objectives.
- Build strong relationships with contractors, engineers, consultants, and service providers.
Technology, Training & Reporting
- Oversee the implementation and effective utilization of Yardi, Yardi Maintenance IQ (MIQ), Jack Jaffa, and other facilities management technologies.
- Leverage technology and operational data to improve preventative maintenance, work-order management, compliance tracking, vendor performance, and portfolio visibility.
- Establish KPIs and reporting processes to measure facilities performance, maintenance activity, capital spending, and operational efficiency.
- Prepare and present regular reports on facilities operations, budgets, capital projects, compliance, and portfolio performance to executive leadership.
- Lead training and professional development programs for maintenance, facilities, and building service personnel.
- Identify opportunities to improve systems, processes, staffing, and technology across the portfolio.
Collaboration & Special Initiatives
- Partner closely with the Asset Manager, Portfolio Managers, Property Managers, and Director of Corporate Facilities on portfolio-wide initiatives and facility improvement strategies.
- Serve as a senior technical resource for property operations, capital planning, building systems, and construction-related decisions.
- Collaborate with internal and external stakeholders to ensure facilities initiatives support broader organizational and asset-management objectives.
What You Bring
- 7–10+ years of progressively responsible experience in facilities management, construction, building operations, or property management.
- At least 3 years in a senior management or director-level position overseeing complex, multi-site facilities or real estate operations.
- Demonstrated expertise managing multifamily, mixed-use, residential, or affordable housing portfolios.
- Strong understanding of building systems, maintenance operations, construction, renovations, capital improvements, and preventative maintenance.
- Proven ability to manage multiple projects, budgets, contractors, and vendors simultaneously.
- Experience developing and managing capital budgets and construction projects from planning through completion.
- Strong knowledge of regulatory compliance, building safety, and risk management.
- Ability to read and interpret architectural, engineering, and construction plans and translate technical information into practical operational decisions.
- Exceptional leadership skills with the ability to motivate, develop, and hold teams accountable.
- Strong communication, negotiation, organizational, and problem-solving skills.
- Proficiency with Yardi, Maintenance IQ (MIQ), Jack Jaffa, Microsoft Outlook, Excel, Word, and other business and facilities management systems.
- Affordable housing experience is strongly preferred.
Education & Certifications
- Bachelor’s degree in Facilities Management, Construction Management, Engineering, Business Administration, or a related field preferred.
- FDNY S-12, S-15, and S-95 certifications required, or ability to obtain within the first six months of employment.
- OSHA 30-Hour Certification preferred.
- Professional facilities or building operations certifications, such as Certified Facility Manager (CFM), are a plus.
