General Purpose
The Onboarding Specialist is responsible for supporting the onboarding process from offer acceptance through employee start-date readiness. This role ensures new hires complete required documentation, coordinates background checks and I-9 requirements, supports onboarding activities, and serves as a primary point of contact for candidates, facility HR teams, and internal stakeholders.
The Onboarding Specialist works closely with Talent Acquisition, HR Operations, Payroll, Compliance, and IT to provide a positive, compliant, and efficient onboarding experience while ensuring new employees are prepared for a successful first day.
Key Responsibilities
Onboarding Administration & Support
Coordinate and support onboarding activities for new hires, transfers, acquisitions, and contingent workers.
Facilitate completion of required onboarding documentation and employment records.
Monitor onboarding progress and proactively follow up on outstanding requirements.
Support employee readiness by coordinating onboarding requirements, documentation, and system setup activities.
Respond to onboarding inquiries from candidates, facility and regional hiring teams, managers, and internal stakeholders.
Provide recruitment process support by assisting with job requisition creation, updating job postings, and coordinating selected candidates through the pre-employment process, including initiating offer letters, background checks and I-9 employment verification requests, and completing required actions to move candidates to the Ready for Hire stage, as needed.
Background Checks, I-9 & Compliance
Process and monitor background checks, license requirements, and pre-employment screening requirements.
Support I-9 compliance activities and employment eligibility verification processes.
Track onboarding compliance requirements and escalate issues that may impact start dates.
Maintain accurate onboarding records and documentation in accordance with company policies and regulatory requirements.
Systems & Process Execution
Support Workday onboarding transactions and employee setup activities.
Troubleshoot routine onboarding system issues and escalate complex concerns.
Follow established procedures, job aids, and service standards.
Ensure onboarding records are complete and accurately maintained.
Assist with testing, validation, and implementation of onboarding process enhancements.
Employee Experience
Provide a welcoming and responsive onboarding experience for new hires.
Support onboarding communications.
Help ensure employees receive timely information regarding onboarding requirements and next steps.
Cross-Functional Collaboration
Partner with Talent Acquisition, HR Operations, Payroll, Compliance, and IT to support onboarding activities.
Share feedback with internal teams regarding processes.
Assist with special projects, acquisitions, and process improvement initiatives as assigned.
Qualifications
Required
2+ years of experience in HR, onboarding, recruiting coordination, HR operations, or a related field.
Strong customer service, organizational, and communication skills.
Ability to manage multiple priorities in a fast-paced environment.
High attention to detail and commitment to accuracy.
Proficiency with Microsoft Office applications.
Preferred
Experience with Workday or other HRIS platforms.
Experience supporting onboarding, background checks, I-9 administration, or compliance-related processes.
Healthcare, multi-site, or high-volume onboarding experience.
Location: This role is in-person position at PACS Downtown in Salt Lake City, Utah.
Pay Range: $25.00 - $28.00 hourly depending on direct job related experience.
