The Reconciliation Specialist is responsible for ensuring the accuracy and integrity of financial records across payment, settlement, and core banking transactions. This role performs continuous end-to-end reconciliations across internal systems, partner networks, and bank accounts to identify, investigate, and resolve all transaction variances.
Beyond core ledger balancing, this position acts as a key operational partner to the Finance Manager: generating comprehensive reconciliation reports, analyzing complex operational data to drive actionable financial insights, and presenting key findings to safeguard business revenue and support decision-making.
WHAT WILL YOU DO?
1. End-to-End Financial & Transaction Reconciliation
- System & Bank Balancing: Perform daily, weekly, and monthly reconciliations across internal system logs, payment gateway feeds, acquirer/processor settlement files, and bank statements.
- Variance & Discrepancy Resolution: Promptly identify, investigate, and resolve all transaction mismatches, floating balances, timing differences, and unallocated funds.
- Multi-Channel Auditing: Match complex, multi-party transaction flows (e.g, card acquiring, e-wallets, bank transfers, and cash-out facilities) against expected settlement timelines and fee structures.
2. Reporting, Data Analysis & Financial Insights
- Comprehensive Reconciliation Reporting: Draft and maintain daily shift balancing sheets, end-of-month reconciliation summaries, and aging schedules for open/unresolved items.
- Data Analysis: Analyze large volumes of raw operational payment data to spot trends, recurring system glitches, processing leaks, or abnormal transaction patterns.
- Actionable Insights: Translate operational data into clear financial summaries and actionable recommendations for the Finance Manager and executive stakeholders.
3. Risk Management, Revenue Protection & Audit
- Revenue Safeguarding: Audit processing fees, merchant discount rates (MDR), interchange, and bank charges to ensure billing accuracy and prevent revenue leakage.
- Exception & Fraud Monitoring: Flag suspicious transactions, potential double-credits, chargebacks, or manual override anomalies for immediate investigation.
- Audit Readiness: Maintain clean, audit-compliant records and reconciliation schedules in accordance with regulatory requirements and internal control policies.
4. Cross-Functional Collaboration & Stakeholder Support
- Strategic Partnering: Work directly with the Finance Manager to refine financial controls and reporting requirements.
CORE COMPETENCIES
- Industry Knowledge: Solid understanding of digital payment flows, acquiring/issuing networks, merchant settlement models, and banking services/finance and remittance transactions.
- Technical Proficiency: High proficiency in advanced Excel (VLOOKUPs, Pivot Tables, macros/formulas) and familiarity with reconciliation software.
- Analytical Mindset: Exceptional attention to detail with the ability to navigate large datasets and solve complex financial discrepancies logically.
- Communication Skills: Strong verbal and written communication skills to articulate findings and present data-driven recommendations clearly.
- High-level capabilities handling enterprise financial platforms such as:
- NetSuite ERP
- Xero
- QuickBooks Online Advanced
- Advanced spreadsheet mechanics, such as:
- Power Query
- Data cleansing
- Excel formulas
- Bachelor’s degree in Finance, Accounting, Financial Technology, or a related field, with proven experience in transaction reconciliation, settlement operations, or core banking procedures.
- Requiring 2+ years of verified, high-volume operational experience managing high-volume data entries, account matching, audit logs, or general ledger close operations, preferably in a banking, fintech, or corporate financial service vertical.
- Moderate professional proficiency in English
