Description
Emery Sapp & Sons (ESS) is seeking a detail-oriented and organized Administrative Assistant to support the daily operations of our Health & Safety Department. This role serves as a key administrative resource, responsible for maintaining records, supporting compliance initiatives, coordinating training documentation, and assisting the Health & Safety team with a variety of administrative and operational functions. The ideal candidate is highly organized, able to manage confidential information with discretion, and committed to support ESS's safety-always culture.
Essential Duties & Responsibilities:
Provide administrative support to the Health & Safety Department, including document management, data entry, report preparation, and recordkeeping.
Administer Personal Protective Equipment program
Develop a working knowledge of ESS Health & Safety standards, programs, policies, and procedures through departmental training and ongoing education.
Assist Health & Safety leadership and staff with surveys, evaluations, audits, inspections, and other departmental activities.
Gather, organize, and maintain data used to monitor Health & Safety metrics, compliance requirements, and departmental goals.
Coordinate training records, certifications, and documentation to ensure accurate and current employee files.
Adhere to and actively support ESS Health & Safety policies and practices.
Prepare reports, spreadsheets, presentations, and correspondence as needed.
Monitor departmental inboxes and respond to inquiries in a professional and timely manner.
Maintain both electronic and physical filing systems while ensuring confidentiality of sensitive information.
Order and maintain office supplies and departmental materials.
Other duties as assigned
Qualifications:
High school diploma or equivalent required.
Minimum 5 years of administrative, office support, or related experience
Ability to communicate effectively, confidentially and professionally with management, coworkers, clients, vendors, contractors, and visitors.
Ability to attend to detail and work in a time-conscious and time-effective manner.
