What You'll Do
As Office Manager, you'll coordinate office operations, maintain efficient administrative processes, and oversee the daily activities of the office.
- Manage the reception area, including telephone, mail, and email communications, while maintaining a professional image
- Manage EMR information, including orders, patient data, scheduling, and access to insurance websites
- Maintain current information on insurance carriers, authorization requirements, and applicable timeframes
- Coordinate office equipment cleaning, maintenance, and repairs
- Provide clerical support as needed, including phones, mail distribution, and document preparation
- Oversee the petty cash fund and maintain office supply inventory
- Schedule and reschedule appointments, manage waitlists, and proactively offer earlier openings when available
- Schedule follow-up appointments at checkout or document why an appointment could not be scheduled
- Maintain office files and implement efficient systems for staff access to records
- Oversee daily office activities and assist with employee discipline or termination in accordance with company policy
- Perform other related duties as assigned
Required:
- High school diploma or GED
- 3+ years of administrative and clerical experience
- Medical office management experience
- Associate degree in office administration or related field
- Excellent verbal and written communication
- Strong organization and attention to detail
- Analytical and problem-solving abilities
- Proficiency with Microsoft Office Suite or related software
- Extensive knowledge of office management procedures
- Strong time management and ability to meet deadlines
