The Position:
The POA Authorization Specialist is responsible for obtaining, submitting, tracking, and maintaining power of attorney authorizations for client accounts. This position coordinates with clients, internal teams, and state agencies to support accurate account setup, timely authorization approval, compliance with state requirements, and successful client onboarding.
Essential Duties and Responsibilities
- Prepare power of attorney (POA) forms for client review and signature
- Monitor authorization status and follow up with clients to support timely completion
- Submit completed authorization documents to state agencies and track them through approval
- Maintain accurate authorization documentation and update applicable internal systems
- Coordinate with state unemployment agencies to confirm and follow current authorization requirements
- Secure electronic authorizations and retain required supporting documentation
- Support client onboarding by verifying that accounts are properly established in state systems, including applicable SIDES enrollment requirements
- Respond to client questions regarding forms, authorization processes, and documentation requirements
- Collaborate with UI Tax Analysts and other internal teams to resolve authorization-related issues
- Generate and review reports to identify outstanding authorizations, delays, and opportunities for process improvement
- Support process changes, system updates, and initiatives related to client account authorizations
- Assist with special projects and perform other duties as assigned
Required Qualifications
- High school diploma or equivalent
- One or more years of administrative, documentation processing, account setup, or related experience
- Experience managing documentation, tracking activities, or processing workflows
- Proficiency in Microsoft Office, including Outlook and Excel
- Equivalent combination of education and relevant experience may be considered

- Excellent written and verbal communication skills with the ability to interact professionally with clients, state agencies, and internal stakeholders

- High level of accuracy and attention to detail when processing documentation and maintaining account information
- Ability to work independently while collaborating effectively across teams
- Ability to adapt to changing processes, systems, and state requirements
- Ability to take initiative and follow assignments through completion with minimal supervision
- Strong client service orientation with a focus on responsiveness, accuracy, and quality
- Ability to handle confidential information appropriately and maintain professionalism
