We are seeking a highly organized and customer-focused Client Services Specialist to join our team. This role serves as a key point of contact between the Firm and its clients, helping to ensure exceptional service delivery, accurate data management, and effective communication. The ideal candidate is detail-oriented, collaborative, and committed to providing outstanding support in a fast-paced, deadline-driven environment.
Position Summary
The Client Services Specialist is responsible for supporting client relationships, maintaining and processing client-related data, generating reports, and assisting with initiatives that enhance the overall client experience. This role requires strong communication skills, attention to detail, and the ability to balance multiple priorities while ensuring compliance with client requirements and Firm standards.
Key Responsibilities
- Build and maintain positive, professional relationships with clients while delivering exceptional service and support.
- Serve as a liaison between clients and internal departments to facilitate communication and address inquiries.
- Process, maintain, and validate client data with a high degree of accuracy and attention to detail.
- Generate, review, analyze, and distribute reports to support client needs and operational objectives.
- Monitor and respond to client requests in a timely and professional manner.
- Assist with data analysis and reporting to identify trends, opportunities, and areas for improvement.
- Collaborate with cross-functional teams to ensure client expectations and service standards are consistently met.
- Maintain accurate records and documentation within Firm systems.
- Ensure compliance with client requirements, Firm policies, and applicable regulatory standards.
- Support continuous improvement initiatives designed to enhance operational efficiency and the client experience.
- Contribute to special projects and perform other related duties as assigned to support departmental and Firm objectives.
Required
- High school diploma or equivalent.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and deadlines in a high-volume environment.
- Strong analytical, problem-solving, and customer service skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Ability to work independently while contributing positively within a team environment.
- Associate degree or higher.
- One to two years of experience in a law firm, legal department, financial services organization, collections environment, or other client-facing administrative role.
- Experience preparing, analyzing, or interpreting reports and business data.
- Experience working with client relationship management (CRM), collections, or database systems.
- Experience with Cogent or similar collections management software.
- Familiarity with creditors' rights, legal services, collections, or compliance-focused environments.
- Exceptional interpersonal and relationship-building skills.
- Strong written, verbal, and professional communication abilities.
- Excellent attention to detail and accuracy.
