Role purpose
The primary purpose of the Compliance & Risk Coordinator, Chadstone, is to administer the health and safety management system while supporting the Assistant Operations Manager in ensuring compliance with statutory obligations. This role focuses on reducing the potential for harm by recommending strategies and actions that elevate awareness, engagement, and business improvement in health and safety practices. The Compliance & Risk Coordinator, Chadstone manages changing business services activities based on evolving business needs. This role involves executing a well-considered strategy in alignment with the Chadstone Business Plan to achieve key deliverables. By fostering a proactive approach to compliance and risk management, the Compliance & Risk Coordinator contributes to creating a safe and compliant environment for all stakeholders at Chadstone.Key Accountabilities
Risk & Compliance
- Administer the Vicinity health and safety management and compliance systems.
- Onboard new centre starters within the health and safety framework.
- Complete audits and risk assessments in accordance with a planned and ad-hoc program to demonstrate performance and identify improvement opportunities.
- Manage the fire system isolation and permit-to-work processes, completing fire system isolations and ensuring all insurance requirements are met in relation to system impairments. Issue permits to work.
- Conduct routine training toolbox talks with team members.
- Manage the public liability review, documentation, and resolution process.
- Conduct inspections of fire and mechanical plant rooms, ensuring they are maintained in a clean and tidy state in collaboration with the Assistant Operations Manager.
- Ensure hazardous materials, dangerous goods, roof safety, and other required documents are available at posted locations.
- Maintain the centre’s health & safety activities calendar and follow up with relevant leads on outstanding tasks.
- Assist with the centre’s AESMR compliance requirements as requested.
- Act as the primary contact for the contractor management process via Rapid Global.
Services Support
- Manage after-hours requirements including BMS (building management system) schedule programming for lighting, HVAC, isolations, and other related tasks.
- Manage the mall coordination plan, ensuring furniture pods, bins, and internal pots are in approved locations. This includes internal and external wayfinding signage, such as media screens and VMS boards.
Administration
- Schedule, minute, and follow up on emergency planning and health & safety committee meetings.
- Review service dockets and maintenance reports, and issue purchase orders to approve required works.
- Manage procurement processes in line with Vicinity guidelines.
- Utilise the maintenance management system to log, assign, and attend to maintenance tasks.
- Contribute to operational reports and presentations as needed.

Experience & Capabilities
ESSENTIAL EXPERIENCE (what you have done)
- A qualification in the health and safety discipline is preferred.
- Experience identifying strategies to improve outcomes around health, safety, and compliance.
- Experience in retail, commercial or industrial assets over 50,000 sqm.
CRITICAL KNOWLEDGE (what you need to know)
- Strong working knowledge of applicable building compliance and health and safety standards, guidelines, and regulations.
- Understanding of contractor management through the administration and retention of permits.
- Foundational knowledge on how to build a short-term plan and a demonstrated proficiency in MS office in supporting admin platforms.
- Demonstrated understanding of administrative duties as required including writing performance and duty management reports.
- Unwavering approach to deliver a safe and healthy environment.
- Willing to maintain a strong knowledge of relevant acts, legislation, and standards.
- Demonstrate the practical support to the centre team to motivate and recognise people to ensure they achieve the best results in their current role.
- Demonstrated instances of delivering projects on time, within budget and in compliance with key handover dates as delegated by the OM as required.
