Description
Position Overview: Oversees the acquisition, maintenance, repair, and replacement of all fleet vehicles and equipment, directing fleet personnel and vendor relationships to keep the fleet safe, reliable, and cost effective. Supervises fleet personnel, and ensures vehicles and equipment comply with company policies and applicable regulations.
ESSENTIAL DUTIES:
- Manage and develop the fleet management function and its personnel, including supervising, training, and evaluating staff.
- Prioritize in-house and subcontracted repair and maintenance schedules to minimize vehicle and equipment downtime.
- Aid in equipment repair and maintenance when appropriate.
- Review and evaluate potential vendors and order items necessary to perform in-house maintenance on fleet vehicles and equipment, maintaining adequate and cost-effective inventory levels.
- Screen and manage vendor relationships, seeking competent firms to provide timely, quality repair work beyond in-house capacity.
- Collaborate with vendors and staff to develop appropriate specifications for equipment and collaborate with other departments to ensure vehicle and equipment needs are met.
- Perform set-up of new equipment and verify optimal working order; confirm that operators understand equipment operation.
- Create and maintain electronic records of all fleet vehicles and equipment.
- Coordinate activities with vehicle dealerships, including returns for warranty, repair, or recall work, trade-ins, and the receipt of newly acquired fleet vehicles and equipment.
- Recommend replacement of fleet vehicles that are no longer economically useful or safe to operate; authorize vehicle and equipment repairs; review, code, and approve applicable invoices for payment; and monitor costs and warranties.
- Strong written and verbal communication skills are required.
- Will be required to travel to job sites as needed.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent - required; associate's degree or technical certification in a related field is a plus.
- 5 years of fleet maintenance/management, automotive or heavy equipment repair, including at least 2 years supervisory experience– preferred.
- Experience with utility or construction fleets, such as bucket trucks, digger derricks, and similar equipment, is strongly preferred.
- Valid driver's license with an acceptable driving record; class A Commercial Driver's License (CDL) or the ability to obtain one within a specified period after hire.
KNOWLEDGE AND ABILITIES:
Knowledge:
- Methods, tools, equipment, and materials used in the maintenance and repair of light, medium and heavy-duty vehicles and equipment.
- Preventive maintenance principles and scheduling practices.
- Fleet management software and electronic record-keeping systems.
- Purchasing, procurement, and inventory control practices, including vendor evaluation and contract administration.
- Vehicle warranty and recall processes and dealership operations.
- Vehicle and equipment life-cycle cost analysis and replacement criteria.
- Applicable safety regulations, environmental requirements, and shop safety practices.
- Budgeting and cost-control principles.
Abilities:
- Plan, organize, assign, and supervise the work of fleet personnel.
- Diagnose mechanical problems and assist with repairs when needed.
- Prioritize competing maintenance and repair demands across in-house and subcontracted resources.
- Develop equipment specifications and evaluate vendor proposals.
- Maintain complete and accurate electronic records.
- Communicate clearly and work cooperatively with staff, other departments, vendors, and dealerships.
- Exercise sound judgment in recommending vehicle and equipment replacement.
- Must be able to effectively communicate with customers, co-workers, and supervision.
ADDITIONAL REQUIREMENTS:
Instructions: Instructions are somewhat general; many aspects of the work are covered specifically but must use own judgment most of the time.
Physical Requirements of the Job: Work is typically performed indoors and outdoors and will involve sitting at a desk or table; work requires intermittent standing, walking, stooping; bending, climbing; reaching, gripping, grasping; must lift objects up to 50 pounds; will be exposed to machines and their moving parts as well as environmental elements.
Tools, Equipment and Vehicles Use or Exposure: Normal office equipment, (computer, iPad, printer, telephone, camera, scanner, copy machine, etc.) when in office. Normal shop environment (lifts, jacks, power/hand tools, welding equipment, diagnostic equipment, etc.) when in shop. Must operate vehicle/equipment as a requirement of the position as necessary.
Contacts: Frequent internal contacts requiring tact and diplomacy.
Interruptions: Frequent.
Special Licensing Requirements: Clas A Commercial Driver's License.
Availability: Required to respond to calls in emergency situations and with storms at all hours.
Overtime Provision: Exempt.
