WHO WE ARE LOOKING FOR
The Office of Human Resources (OHR) is seeking a highly organized, detail-oriented Administrative Specialist II to serve as the operational backbone of our Policy, Practice & Strategic Engagement Division. If you thrive on keeping complex work moving, enjoy being the “go-to” person in the office on what's happening and what's next, and want your work to directly support the teams that shape HR policy and practice across the enterprise, this role is for you.
Reporting to the Division Chief of Policy, Practice & Strategic Engagement, you'll provide essential coordination and administrative support across five dynamic teams: Classification and Compensation, Equal Employment Opportunity, Data and Policy Insights, Leave Management, and Performance Management. You'll be the central point of contact who keeps projects on track, communication flowing, and the Division Chief's office running smoothly, all while exercising sound judgment and discretion on sensitive matters.
- Keep the division moving: Track work requests and projects across all five teams, build and maintain tracking systems, flag bottlenecks, and help new staff get up to speed.
- Support division leadership: Manage the Division Chief's calendar, prepare briefing materials, draft correspondence and reports, and keep action items and deadlines on track.
- Be the go-to connector: Serve as the first point of contact for County departments, employees, and external stakeholders, routing inquiries and drafting division communications and announcements.
- Run the “back office”: Handle divisional budget and procurement documents, coordinate travel and reimbursements, support HR transactions like position reclassifications, and keep the physical office running smoothly.
- Drive continuous improvement: Spot workflow bottlenecks and administrative inefficiencies across the division and propose practical fixes that make day-to-day operations run smoother.
- Keep the paper trail clean: Maintain organized filing systems and records management practices that meet County retention and compliance requirements.
Education: Two years of professional administrative experience related to human resources or office management.
Equivalency: An equivalent combination of education and experience may be substituted.
- Experience working in a human resources office
- Experience as an executive assistant to a senior leader
- Three years of professional administrative experience related to human resources or office management.
