Job Summary
Operates the medical center switchboard and responds to internal and external calls, paging inquiry, codes and/or overhead paging requests. Performs general clerical duties including and not limited to faxing, copying, scanning, filing and documenting information as needed. Assistance in working with telecommunication devices (phones, cell phones and pagers- swaps and activations) is required.
Essential Functions
- MMC Telephone directory, paging vendor program, emergency notification system.
* Responds to directory assistance by locating appropriate numbers and provides direct numbers/or transfer the call when required - Provides callers with directory and general Medical Center information and/or instructions on telecommunication system usage- i.e. paging, office and fax numbers, addresses.
* Assist callers in determining correct departments on a timely basis. - Update telephone directory as necessary in order to maintain a complete and accurate listing.
* Notifies supervisor of changes in directory in a timely manner. - Operates and maintains communication equipment correctly. Understands and utilizes system logs accurately.
* Operates all stations including fax, voice/digital pagers. Main console efficiently in accordance with departmental procedures. Notifies supervisor of malfunctions on a timely basis. - Provides immediate response to and processes emergency calls promptly. Monitors alarms for hospital and transmitters.
* Responds immediately to emergency lines and all major alarms. Obtain all needed emergency information quickly and calmly. Transmitters to be checked weekly. - Distributes batteries.
* Batteries are readably available for distribution. Notifies supervisor of when supply on batteries is low so an order can be placed just in time. - Maintains the confidentiality of all physician, patient and other Medical Center related information.
* In accordance with risk management & legal affairs guidelines. Remains current with hospital changes: (i.e. CIS confidentiality statements). Maintains HIPPA compliance at all times. - Communicates clearly with supervisors and associates as needed to clarify issues or exchange information between shifts.
* Communicates in a timely and clearly manner. - Adheres to departmental and medical center guidelines concerning safety, rules of conduct, etc.
* Upkeep of telecommunications guidebook. - Attends education, in-service, and other meetings mandated by supervisor.
* Submits report if requested, and/or certificate of completion. - Read emails daily
* Respond in a timely manner - Responsible for documenting co-worker call out.
* Record in the log book
* Use the seniority list to call for coverage - Maintain a log of all pages.
* Legible and filled out accurately. - Must be able to work weekends and holidays.
Qualifications
- High School Diploma or GED Required
- At least three years of Telecommunications preferred.
- General office equipment includes telephone, fax, copier, and scanner.
- Outlook, Word, Excel, Windows, Internet browsing needed for computer skill set.
- Working knowledge of basic smart phones and pagers.
- OHS Fit Test Required
- OHS Annual Assessment Required
