Staffstream is hiring a Business Development Coordinator for an Australian commercial and industrial solar and battery business based in Victoria.
The business designs and installs solar panel systems and battery solutions for builders, developers, and property owners. Its reputation is built on quality workmanship, and it is now building a dedicated sales engine to grow in commercial and industrial projects and microgrids.
The Business Development Manager is the relationship driver: out on the road and on the phone with builders and clients all day, and at his best face to face. You'd be the sales expert working in behind him, owning the follow-up engine that keeps long tender cycles moving. That means turning his voice memos and texts into structured records, tracking every tender from submission to award, booking follow-up calls straight into his calendar, and chasing until they're done.
This is a proactive, hands-on role, not a passive admin seat. The business wants someone who notices when an opportunity has gone quiet, recommends the next step, and keeps the pipeline honest, rather than waiting to be told.
This role is open to candidates based in the Philippines.
What you will actually do
CRM and pipeline management
- Turn the Business Development Manager's voice memos, texts, and brief notes into complete, structured CRM records in Pylon: contact details, project information, postcodes, follow-up dates, and interaction notes.
- Manage the sales pipeline, tracking every active tender, proposal, and contract, and making sure each opportunity is correctly staged with a defined next action.
- Build and maintain a structured system of follow-up reminders and pipeline alerts so no opportunity goes quiet between tender submission, award, and project start.
Tender tracking and follow-up
- Track all active tender invitations and submissions, logging submission dates, expected decision timelines, and follow-up milestones, and alerting the Business Development Manager the moment action is needed.
- Own the Business Development Manager's follow-up calendar: book follow-up calls and meetings directly into his calendar, prompt him on the day, and chase until each action is done.
- Spot opportunities that have been inactive for too long and raise them with a recommended next step, rather than simply flagging the gap.
- When a project is won, send congratulations and introduction emails promptly, schedule the follow-up conversation, and brief the Business Development Manager before he contacts the builder.
- Use AI tools to streamline repetitive work, for example turning tender award notifications into ready-to-send congratulations emails instead of copying and pasting contact details by hand.
Sales documentation and call preparation
- Document every client touchpoint against the opportunity, keeping a clear, searchable record of what has been discussed, agreed, and actioned for every builder relationship and tender.
- Prepare the Business Development Manager for key conversations with pipeline summaries, opportunity histories, and outstanding follow-up items, so every call or meeting is well briefed.
Proposals and contracts
- Keep solar proposals and contracts correctly filed, version-controlled, and easy to find when they're needed in a client conversation.
- Track each proposal through to signed agreement and deposit payment, flagging stalled opportunities with context and a recommended approach.
Reporting and sales support
- Give the Business Development Manager regular, clear summaries of pipeline status: active tenders, pending follow-ups, proposals outstanding, and anything needing urgent attention.
- Support job management records in ServiceM8 as won tenders move into project delivery.
- Document the follow-up process as you build it, so it becomes a repeatable playbook for the wider sales team.
- Handle general business development administration, including correspondence and scheduling.
What you need to bring
- Real experience in sales support, business development coordination, CRM administration, or tender management, with a practical understanding of how long B2B sales cycles are kept moving between key milestones.
- An understanding of how tenders and project sales progress, from submission and award through proposal, contract, and deposit.
- Genuine, day-to-day use of AI tools such as Claude or ChatGPT, for example drafting follow-up emails, summarising voice memos and meeting notes, creating CRM entries from informal updates, and automating repetitive tasks. Familiarity alone isn't enough; we want someone who actively looks for ways to streamline.
- Proficiency in a sales CRM such as Pylon, Pipedrive, or HubSpot, and the ability to pick up a new platform quickly.
- Exceptional data entry and record-keeping accuracy, able to turn brief, informal updates into complete, reliable CRM entries without losing or misrecording anything.
- Strong analytical instincts: you can take raw information, like a voice memo or tender update, and turn it into clear, actionable tasks.
- Proactive follow-up instincts: you notice when an opportunity has gone quiet and take structured action to re-engage it, without waiting to be prompted.
- Assertive and direct. You're confident holding a senior colleague accountable to follow-ups and deadlines, comfortable pushing back, and not afraid to say “this needs to happen today.”
- Clear written communication for pipeline summaries, congratulations emails, and other structured communication on behalf of the sales function.
- A supportive, collaborative approach: your job is to amplify the Business Development Manager's effectiveness and keep him face to face with clients, not to replace the relationships that drive the business.
Nice to have
- Experience with Pylon, the solar design and proposal platform used across the Australian solar and battery industry.
- Background in solar, batteries, renewables, construction, or trades, and familiarity with how builders and developers buy.
- Working knowledge of solar and battery terminology, such as kilowatts, system sizing, and the language of commercial proposals.
- Experience with ServiceM8 or a comparable job management platform.
- Experience writing SOPs or documenting sales processes.
The setup
- This role is open to Philippines-based candidates, working part-time and fully remote.
- Reports to the Business Development Manager, who is on the road or on the phone most of the day. He shares updates by WhatsApp voice memo or text, and day-to-day communication runs mainly through WhatsApp and Microsoft Teams.
- Works alongside the business's existing sales assistant and a team member with project management and solar experience. Sales is the piece you bring.
- Your main tools will be Pylon (CRM and design platform), ServiceM8, the tender platform, and the Business Development Manager's Excel dashboard.
