Description

Description

The National WWII Museum is currently seeking an Application and Automation Engineer.  The Application and Automation Engineer is responsible for supporting, maintaining, integrating, and improving the Museum’s business-critical applications, with primary focus on the Digital Asset Management platform and related workflows, integrations, data flows, reporting, and support processes.

This role partners with IT, business departments, vendors, and project stakeholders to ensure assigned applications are reliable, secure, documented, and supportable. The position combines application administration, troubleshooting, automation, light development, integration support, reporting support, vendor coordination, and process improvement.

This is a hands-on technical role and does not include people-management responsibilities.

Requirements

Digital Asset Management and Business Application Support

  • Serve as IT’s primary technical support resource for the Museum’s Digital Asset Management platform and other assigned business applications.
  • Support application configuration, workflows, permissions, user access, metadata related processes, reports, and operational support needs.
  • Troubleshoot application issues, user access problems, data inconsistencies, integration failures, workflow errors, reporting issues, and user-reported defects.
  • Work with business users to understand support needs and translate them into clear technical actions, vendor requests, configuration changes, or process improvements.
  • Help distinguish between business process ownership, vendor responsibility, and IT technical support responsibilities.
  • Support application lifecycle activities, including upgrades, patches, configuration changes, access reviews, testing, migrations, and vendor-supported enhancements.

Integrations, Data Flows, and Automation

  • Support and improve integrations between Museum applications, databases, SaaS platforms, reporting tools, file systems, and operational systems.
  • Develop, maintain, and troubleshoot automations that reduce manual work, improve consistency, and support business processes.
  • Build or support workflows using approved tools such as Microsoft 365, Power Automate, scripts, APIs, scheduled jobs, or vendor-supported integration tools.
  • Troubleshoot failed integrations, broken workflows, data synchronization issues, automation errors, and related system dependencies.
  • Ensure automations and integrations are secure, documented, supportable, and not dependent on undocumented individual knowledge.

Reporting and Data Support

  •  Support operational reporting needs tied to Museum applications, data workflows, and business processes.
  •  Assist with data extraction, formatting, validation, reconciliation, and basic analysis where appropriate.
  •  Support Power BI, Excel-based reporting, application exports, and other approved reporting tools as assigned.
  •  Help departments improve recurring reports, dashboards, manual data processes, and repeatable reporting workflows.
  •  Ensure reporting processes are accurate, documented, and repeatable.

 Application Security and Access Support

  • Support secure access practices for assigned applications, including account provisioning, deprovisioning, role assignments, permissions reviews, and administrative access documentation.
  • Partner with Cybersecurity and Infrastructure teams on SSO, MFA, conditional access, service accounts, privileged access, and authentication-related concerns.
  • Ensure application access changes follow approved IT processes and are appropriately documented.
  • Identify and escalate risks related to shared accounts, excessive permissions, unsupported integrations, weak authentication, undocumented service accounts, or unclear ownership.

 Vendor, Stakeholder, and Operational Coordination

  • Open, track, and manage vendor support cases for assigned applications through resolution.
  • Coordinate troubleshooting sessions between vendors, IT staff, business users, and project stakeholders.
  • Communicate application issue status, risks, dependencies, and resolution progress clearly to affected stakeholders.
  • Maintain application support documentation, including configuration notes, integration details, workflow logic, access models, vendor contacts, escalation paths, known issues, dependencies, schedules, credentials ownership, and recovery steps.
  • Provide input to IT leadership on recurring application issues, vendor performance, support gaps, lifecycle concerns, and improvement opportunities.
  • Support DAM governance and broader application governance efforts by helping clarify technical ownership, escalation paths, and repeatable support processes.
  • Perform other duties as assigned.

Required Qualifications

  • 3+ years of experience in application support, systems analysis, automation, integration support, software support, or related IT role.
  •  Experience supporting business applications in a production environment.
  •  Working knowledge of application configuration, permissions, user access, workflows, data imports/exports, and vendor support processes.
  •  Experience with automation, scripting, APIs, reporting tools, or low-code/no-code workflow tools.
  •  Ability to troubleshoot application issues across users, data, integrations, permissions, and vendor platforms.
  •  Strong documentation skills.
  •  Strong customer service and communication skills.
  •  Ability to work with both technical teams and non-technical business users.
  •  Ability to manage multiple priorities and support requests in a resource-constrained environment.

Preferred Qualifications

  • Experience with Digital Asset Management platforms, especially NetX.
  • Experience supporting cultural institution, museum, archival, collections, media, or digital content workflows.
  •  Experience with Microsoft 365, SharePoint, Power Automate, Power BI, SQL, REST APIs, scripting, or workflow automation.
  •  Familiarity with metadata, digital asset workflows, file movement, content publishing, or media management processes.
  •  Experience supporting integrations between SaaS platforms, databases, file systems, and reporting tools.
