Facility Coordinator-JLL
What this job involves:
As a Facility Coordinator at JLL, you'll be at the heart of creating exceptional workplace experiences for our client in Rio Rancho. This role puts you on the front lines of facility operations, where you'll directly support the Facility Manager while coordinating essential services, managing vendor relationships, and ensuring that every aspect of the physical work environment runs seamlessly. You'll be the go-to problem solver who keeps the building operating efficiently while supporting the people who work within it—from managing mail and packages to resolving building service issues and coordinating maintenance activities. This position offers hands-on experience in facility management while working alongside professionals who embrace more innovative ways of working and prioritize opportunities to strengthen and advance your career through exposure to budgeting, vendor management, and client relations.
What your day-to-day will look like:
• Serve as the primary point of contact for building occupants, vendors, and service providers, responding promptly to inquiries and resolving facility-related issues including janitorial, parking, badging, conference rooms, and furnishings
• Receive and dispatch work requests to technical staff, vendors, and service providers using CMMS (Computerized Maintenance Management Systems), ensuring timely resolution and conducting appropriate follow-up with customers to drive satisfaction
• Support budgetary processes by assisting with financial requests, identifying cost savings opportunities, and helping the account achieve significant savings targets through vendor coordination and operational efficiencies
• Manage incoming and outgoing mail and packages, maintain inventory and stocking of office supplies, and coordinate vendor services to ensure seamless building operations
• Conduct weekly site inspections alongside the Facility Manager to identify maintenance needs, manage seat assignments, and prepare repair and maintenance reports while maintaining vendor audit documentation
• Coordinate meetings and conference room reservations, support events and all-hands gatherings through room setups and bookings, and manage calendar systems to minimize disruption to client operations
• Review invoices, receipts, and work orders while assisting with operational reporting, purchasing, and financial systems to ensure accurate record-keeping and budget compliance
Required qualifications:
• High school diploma or equivalent
• 1-2 years of experience in facility management, building operations, or related field
• Proficiency in Microsoft Office Suite
• Strong organizational skills with proven ability to manage multiple priorities and maintain detailed records
• Superior customer service skills with the ability to maintain professionalism at all times and act as an effective interface with clients, visitors, and guests
• Demonstrated ability to multitask effectively and work independently without direct supervision in a fast-paced environment
• Strong written, verbal, and interpersonal communication skills with collaborative work style
Preferred qualifications:
• Experience using CMMS (Computerized Maintenance Management Systems) or work order management software
• Associate's or bachelor's degree in facility management, business administration, or related field
• Experience supporting management audits and compliance documentation in corporate or commercial real estate environments
• Knowledge of Key Performance Indicators (KPIs) and client satisfaction survey methodologies
• Experience managing landlord relations and coordinating with multiple service providers simultaneously
Schedule: M-F 8am-5pm
