Position Overview:
We are seeking a passionate and dynamic Marketing and Communications Assistant to join our award-winning team and support our marketing and communication efforts. In this role, you will collaborate closely with our team of professionals to support various campaigns, initiatives, and strategies aimed at promoting our brand and informing our community. Attention to detail and the ability to handle information with discretion are essential. What you'll do:
MARKETING AND COMMUNICATIONS
- Campaign Coordination: Assist in the coordination and execution of marketing and communication initiatives
- Content Creation: Basic editing of promotional materials using tools like Canva or Adobe Creative Suite
- Social Media: Assist in the coordination and execution of maintenance of our various social media sites
- Media Relations Support: Maintain media contact lists and track media coverage
- Internal Communications: Distribute approved messages to internal stakeholders
- External Event Support: Help support organization such as events, webinars, and other promotional activities. Including assisting team members with planning and staffing of events
- Community Outreach Support: Assist with community partnership initiatives, sponsorship activations, health fairs, and community engagement opportunities including maintaining a community stakeholder list and outreach schedule
- Survey & Feedback Collection: Assist with collecting and compiling feedback from events or campaigns to improve future initiatives
- Promotional Item Tracking: Coordinate with staff and vendors to keep promotional items stocked across all locations
ADMINISTRATIVE SUPPORT
- Vendor Coordination: Work with internal teams and external vendors to ensure smooth workflow, for example, ordering promotional items
- General Office Support: General office support including but not limited to correspondence, answering phones, supplies, facility requests, preparing meeting agendas, and virtual meeting support
- Calendar Support: Support scheduling for Marketing and Communications director
- Budget Tracking: Process invoices and track department expenses and sponsorships
- Mailing Support: Provides administrative and logistical support for mailing campaigns, including preparing materials, coordinating shipments, and ensuring timely delivery
Minimum Qualifications:
- High school diploma required
- Bachelor's degree in Marketing, Communications, Journalism, or a related field preferred
- Experience - 3+ years office experience preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with Canva and/or Adobe Creative Suite preferred
- Familiarity with social media platforms and content management systems preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple projects and priorities simultaneously
- Strong attention to detail and commitment to accuracy
- Ability to handle confidential and sensitive information with discretion

- Physical Requirements - Repetitive use of hands and fingers (e.g. use of computer keyboard). May require light lifting and carrying - including but not limited to boxes and equipment, stooping and kneeling (e.g. to pick up items from the floor, to remove and replace items on lowers shelves, and to file documents in the lower file drawers), and sitting for long periods of time.
