JOB SUMMARY:Within a client and family centred care model and within the vision and values of Vancouver Coastal Health, the Health Protection Assistant provides a variety of administrative support to Public Health programs/teams by performing duties such as maintaining a variety of program-specific databases, program files and generating statistics. Coordinates, arranges and attends program workshops and meetings, to record minutes, takes follow-up actions, prepares and processes invoices. Performs other administrative functions such as operating the switchboard, , developing resource displays, prioritizing incoming materials, answering questions and providing information to the public on current programs, as well as composing correspondence, developing reports and spreadsheets, ordering supplies, and updating the information on the departmental website according to established procedures. Answers general inquiries related to programs. QUALIFICATIONS:Education & Experience Grade 12, graduation from an Office Administration program supplemented by one (1) year recent, related experience in a complex health care environment or an equivalent combination of education, training and experienceKnowledge, Skills & AbilitiesKnowledge of office practices and procedures.Knowledge and proficiency in relevant and current software. (Word, Excel, graphic applications, as well as various database applications such as HedgeHog).Ability to type 50 w.p.m.Knowledge of medical terminologyAbility to communicate effectively both verbally and in writing.Ability to work independently and effectively with others.Ability to be sensitive, tactful and diplomatic with clients and the public.Ability to organize and prioritize work.Ability to compile information.Ability to perform relevant calculations.Ability to operate related equipment.Physical ability to carry out the duties of the position.The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes.
