Description

We are searching for a sales coordinator to join our team in Tokyo, Japan.
This position is responsible for providing back-office support for sales activities and supporting data-driven decision-making with the aim of improving operational efficiency and maximizing sales for the Japan domestic sales department. The role requires accurately executing sales information support operations, including daily data compilation, while also contributing to more efficient sales activities by compiling and analyzing sales data, market data, and customer trends, and visualizing them in reports.
The position also assists in extracting analyses and insights through the use of AI tools and other resources, as well as improving business processes, thereby helping create an environment in which sales representatives can focus on higher-value activities such as customer development, relationship building, and proposal activities.
Duties and Responsibilities:
① Sales Operations Support (Core Duties)
- Collect information from IT tools available internally and from other departments, and create, adjust, update, and share the following reports and documents with appropriate stakeholders (may include English):
Every morning: Daily sales report, Schenker pickup report, order replenishment quotation report, available-for-sale report
Weekly: Future Order status report, BW data update, weekly forecast sheet; submission deadlines to be determined in coordination with the Regional Sales Director
Monthly: Final monthly sales report, retail sales/inventory report, new product launch progress management sheet, all-dealer sales progress management sheet; submission deadlines to be determined in coordination with the Regional Sales Director
- Support ad hoc projects based on instructions from the Regional Sales Director, including strategic planning, budgeting, dealer programs, and town hall meetings.
- Manage and organize shared drives using a logical and consistent folder structure.
- Create and update business procedure manuals.
- Perform other assigned duties.
② Sales Representative Support
- Support preparation for business meetings, including gathering customer information and organizing past sales data.
- Visualize sales, inventory, and order trends by customer.
- Assist with preparations for opening orders for new products, limited-edition items, and similar launches in collaboration with other departments.
- Support the execution of campaigns and promotions, and compile progress and results.
- Assist with trade show and event operations, and compile progress and results.
- Assist with various registration tasks.
- Assist with congratulatory and condolence matters for business partners.
- Enter business card information and manage customer contact lists, including accounts for Fender, Jackson, and Gretsch Academy.

- Advanced proficiency in Excel (VLOOKUP, pivot tables, data sorting, graph/chart creation, and report creation with accurate figures and readable formatting), Word, and PowerPoint (diverse custom sections, simple editing, impressive design, and presentation content suggestions)
- Proficiency in SAP/BW
- Multi-lingual (English highly desired), comfortable working within an international organization and able to collaborate with global team when necessary
Education and/or Qualifications and/or Training:
- Required: Bachelor’s degree
Minimum Work Experience:
- Minimum of 1–3 years of experience in sales or sales administration
