The ideal candidate is detail-oriented, organized, responsive, and comfortable working independently while partnering closely with Inventory Control, Account Management, Logistics, Quality Assurance, vendors, and warehouse teams.

Essential Responsibilities

Inventory Receiving & Accuracy

• Maintain 99% accuracy in inventory data, including lot numbers, pack dates, shelf life, quantities, and product status.

• Research and resolve inventory discrepancies in partnership with the Inventory Supervisor and warehouse teams.

• Support weekly and monthly inventory reconciliations and provide information for departmental metrics.

Order Fulfillment & Product Reservations

• Reserve available product against open orders in real time using inventory on hand and newly received inventory.

• Follow up daily on unresolved items to support complete and timely customer order fulfillment.

• Notify Account Management promptly of shortages, overages, short shelf life, or product issues identified at delivery.

• Respond to email requests and complete assigned work within established deadlines.

Transfers, Claims & Regulatory Coordination

• Create and receive transfer orders for product moving between warehouse locations.

• Process return-to-packer requests and warehouse or vendor claims within 24 to 48 hours.

• Submit inspection and certificate requests to USDA and USDC, coordinating requirements with warehouse partners.

• Coordinate product samples for quality testing, food shows, customer requests, and Sales needs.

Reporting, Collaboration & Operational Support

• Prepare monthly reporting and maintain label and box inventory records.

• Provide backup support to Logistics Coordinators for domestic shipments through cross-training.

• Use sound judgment and job knowledge to solve routine and complex inventory issues and identify opportunities to improve customer satisfaction.

• Follow company policies, departmental procedures, and applicable federal and state regulatory requirements while maintaining productive working relationships across departments.

Minimum Qualifications

• High school diploma or GED required; associate degree or higher preferred.

• Experience supporting inventory, warehousing, logistics, purchasing, order fulfillment, or a related operational function preferred.

• Proficiency in Microsoft Outlook, Word, and Excel.

• Strong attention to detail, organization, follow-through, and ability to manage competing priorities and deadlines.

• Effective written and verbal communication skills with the ability to work professionally across departments, vendors, warehouses, and government agencies.

• Ability to perform basic math and percentages and apply judgment to resolve routine and complex problems.

• Ability to remain calm and professional while working in a fast-paced environment.

Physical Demands & Work Environment

• Work is primarily performed in a climate-controlled office setting with moderate noise.

• Frequently required to sit for extended periods and use a computer; regularly required to communicate verbally, stand, walk, and climb stairs.

• The role requires regular use of a computer and other standard office equipment, with repetitive hand and finger movements for typing and data entry.

• Occasional local travel may be required for business-related meetings or activities.

• Physical requirements may be met with reasonable accommodation where required by law.
