This position plays an important role in maintaining accurate financial records, processing vendor invoices, coordinating purchase orders and approvals, preparing customer invoices, and supporting the daily accounting functions of the business.

The ideal candidate enjoys working with numbers, organizing information, solving problems, and collaborating with team members to ensure financial transactions are completed accurately and on time.

We are open to candidates at the Associate, Specialist, or Senior Specialist level, depending on demonstrated experience and capabilities.

Key Responsibilities

Accounts Payable (AP)

  • Receive, review, code, and enter vendor invoices into QuickBooks Online.
  • Assign expenses to appropriate accounts, projects, departments, and cost categories.
  • Track down outstanding approvals and supporting documentation from supervisors and project managers.
  • Review and match invoices against purchase orders (POs), receipts, and approved purchases.
  • Identify and resolve invoice discrepancies, missing information, and duplicate charges.
  • Maintain organized vendor records and support timely payment processing.

Accounts Receivable (AR) & Customer Invoicing

  • Prepare and issue accurate customer invoices based on project information, completed services, and approved billing details.
  • Coordinate with project managers and department leaders to obtain information needed for billing.
  • Review invoice accuracy, including customer information, project numbers, pricing, and supporting documentation.
  • Monitor outstanding invoices and assist with customer billing questions and payment follow-up calls to customers.
  • Help maintain accurate customer accounts and accounts receivable records.

Bookkeeping & Accounting Support

  • Maintain accurate and timely financial records in QuickBooks Online.
  • Assist with account reconciliations, transaction reviews, and month-end accounting activities.
  • Prepare and maintain Excel and Google Sheets spreadsheets, trackers, and reports.
  • Support accurate project-related cost tracking and financial documentation.
  • Identify opportunities to improve accounting workflows, accuracy, and efficiency.
  • Assist with additional accounting and administrative responsibilities as needed.

Required Qualifications

  • Practical experience with bookkeeping, accounts payable, accounts receivable, or related accounting functions.
  • Working knowledge of QuickBooks Online (QBO).
  • Proficiency with Microsoft Excel and Google Sheets.
  • Understanding of basic accounting principles, expense coding, and financial recordkeeping.
  • Strong attention to detail, organizational skills, and accuracy.
  • Ability to manage multiple priorities, follow up on outstanding items, and meet deadlines.
  • Effective written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive financial information responsibly.

Preferred Qualifications

  • 3–5 years of bookkeeping or accounting experience.
  • Associate's or bachelor's degree in Accounting, Finance, Business, or a related field.
  • Experience working in commercial construction, engineering, or construction-related professional services.
  • Familiarity with geotechnical engineering, construction materials testing, or drilling operations.
  • Experience with project-based accounting, job costing, purchase orders, and vendor management.
  • Experience supporting multiple business entities or departments.

What Success Looks Like

A successful Bookkeeping Specialist at AIMRIGHT will:

  • Process AP and AR transactions accurately and on time.
  • Proactively follow up on missing approvals and documentation.
  • Help ensure customers are invoiced promptly and correctly.
  • Maintain clean, organized, and reliable accounting records.
  • Communicate effectively with project managers, vendors, customers, and leadership.
  • Demonstrate ownership of responsibilities rather than waiting to be reminded.
  • Identify and help resolve problems before they become larger issues.

Work Schedule & Compensation
