Position Purpose:

The Operations Associate role at Heritage is essential for maintaining accurate inventory and accounts payable records and reconciliation.

ensuring efficient and effective service delivery to our customers. By leveraging strong organizational skills, and a proactive service-oriented approach, the Operations Associate will enhance operational integrity, support team leadership, and contribute to fostering enduring customer and interdepartmental relationships.

Key Responsibilities:

Spearhead comprehensive inventory control initiatives.

Manage branch inventory and accounts payable reconciliation.
Manage order processing and day-end balancing, ensuring accuracy and timeliness to uphold financial integrity and facilitate smooth branch operations.
Coordinate and supervise the dispatch of trucks, guaranteeing timely and accurate product deliveries to job sites, enhancing customer satisfaction and operational reliability.
Leverage ERP systems and relevant software tools
Cultivate and sustain strong customer relationships, demonstrating a commitment to sales and service excellence that drives customer loyalty and business growth.

Direct Manager Direct Reports:

  • The Operations Associate directly reports to the Branch Manager.


Physical Requirements:

The ability to communicate proficiently with team members and customers is essential, requiring clear written and verbal exchanges. Regular use of computers and office equipment is expected, necessitating the ability to accurately input data and manage digital correspondence. Duties may also require periodic inspection of inventory from different warehouse locations, necessitating the ability to traverse the warehouse safely. Minimum Qualifications:

  • Organizational Skills: Exceptional organizational abilities with attention to detail, maintaining minimal error rates in tasks.

  • Technical Proficiency: Proficiency in Microsoft Office tools, including Excel, Word, and Outlook. Familiarity with ERP systems is highly preferred. Experience with Agility software is advantageous but not required.

  • Customer Service Excellence: Proven track record in service and sales excellence, including developing and maintaining lasting customer relationships.

  • Communication Skills: Strong verbal and written communication skills, with the ability to effectively organize and follow up on tasks.

  • Cultural Fit: Willingness to embrace and contribute to a culture focused on profitability and enjoyment, encapsulated in the “Make Money and Have Fun!” ethos.

  • Licensing and Transportation: Possession of a valid driver’s license, a satisfactory driving record, and access to reliable transportation.

  • Legal Authorization: Authorization to work in the United States for any employer without the need for sponsorship.

  • Background and Health Screenings: Ability to pass a criminal and driving background check, as well as a pre-employment drug screening.

  • Analytical Proficiency: Strong analytical skills with the ability to interpret complex data sets to inform strategic decision-making and drive inventory optimization.

  • Vendor and Stakeholder Engagement: Experience in cultivating and maintaining strategic vendor and stakeholder relationships to ensure seamless supply chain operations and service delivery.

  • Problem-Solving Expertise: Demonstrated capability to identify operational challenges proactively and implement effective, sustainable solutions in a timely manner.

  • Continuous Improvement Focus: Commitment to continuous improvement and process optimization, with experience in implementing Lean or Six Sigma methodologies to enhance operational workflows.

  • Technological Aptitude: Advanced proficiency with ERP systems, complemented by an adaptive ability to learn and integrate new technology solutions tailored to inventory and warehouse management.

  • Communication and Interpersonal Skills: Superior communication skills, both verbal and written, ensuring clear, concise, and professional interaction with team members, vendors, and customers.

  • Safety and Compliance Knowledge: In-depth understanding of industry safety standards and regulatory compliance requirements, ensuring the maintenance of a safe and compliant workplace environment.

  • Financial Acumen: Understanding of budget management and cost-control strategies to enhance profitability and operational efficiency within the branch.

Minimum Education:

A high school diploma or equivalent is required.

Preferred Education:

Bachelor's degree in Business Administration, Supply Chain Management, or a related field is highly desirable.

  • Inventory Management Expertise: Demonstrated proficiency in managing various phases of inventory control, including purchasing, cycle counts, pricing, and disposition of damaged goods, ensuring optimal stock levels and minimal discrepancies.

  • Operational Efficiency: Skilled in overseeing daily warehouse activities and dispatch operations to ensure timely and accurate delivery of products, thus supporting smooth logistical workflows.

  • Communication Proficiency: Strong verbal and written communication skills utilized to foster productive interactions with team members, vendors, and customers, enhancing service delivery and customer satisfaction.

  • Technical and Computer Literacy: Adept at navigating and utilizing various software tools, including Microsoft Excel, Word, and Outlook, as well as ERP systems, to streamline operations and maintain organized records.

  • Organizational and Detail Orientation: Exceptional organizational skills with a keen attention to detail, ensuring an accurate order process and cycle counts, and maintaining a minimal error rate in operational tasks.

  • Customer Relationship Management: Committed to developing and maintaining lasting customer relationships through dedicated service excellence, thereby contributing to a positive company reputation and repeat business.
