Are you an experienced Executive Assistant who thrives in a fast-paced, executive environment where trust, professionalism, and attention to detail are everything?
Our client, a respected Alberta-based organization based in west Edmonton, is seeking an accomplished Executive Assistant to provide dedicated support to a senior executive with a large and complex portfolio. This is a newly created position, offering the opportunity to build a true executive partnership while supporting strategic initiatives across multiple business functions.
This is far more than a traditional administrative role. We're looking for someone who can anticipate needs, manage competing priorities with confidence, exercise exceptional judgment, and become a trusted advisor behind the scenes.
What You'll Be Doing
As the Executive Assistant, you will play a key role in ensuring the executive's day runs seamlessly by providing proactive, high-level support across a diverse portfolio. Your responsibilities will include:
- Managing a complex calendar, inbox, priorities, and executive action items
- Preparing executive correspondence, presentations, briefing materials, reports, and meeting packages
- Coordinating meetings, committees, agendas, minutes, and follow-up actions
- Supporting projects and initiatives across multiple business areas while tracking timelines and deliverables
- Liaising professionally with senior leaders, directors, external stakeholders, and governance committees
- Maintaining highly confidential information with discretion and professionalism
- Organizing documentation, records, contracts, expense claims, and other executive administration
- Anticipating challenges, identifying solutions, and ensuring nothing falls through the cracks
What We're Looking For
We're seeking an Executive Assistant who is confident, polished, and highly organized with the ability to support a senior executive operating within a complex environment.
The ideal candidate will bring:
- 7+ years of Executive Assistant experience supporting senior executives with significant organizational responsibility
- Exceptional organizational and time management skills with the ability to manage multiple competing priorities
- Outstanding written and verbal communication skills with the ability to communicate clearly, professionally, and succinctly
- Superior attention to detail with a strong focus on accuracy, formatting, and presentation quality
- The confidence and judgment to ask questions, anticipate needs, and proactively solve problems
- Experience handling confidential and sensitive information with absolute discretion
- Strong relationship-building skills and the ability to work effectively with executives, leadership teams, and external stakeholders
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams and SharePoint)
- Experience supporting executives within government, regulatory, public sector, healthcare, nonprofit, or governance-focused organizations would be considered a strong asset.
