Description
Overview
Provides comprehensive administrative and operational support to the Washington DC office, serving multiple departments and cross-functional teams. This role is responsible for ensuring the efficient day-to-day operation of the office while delivering exceptional internal and external customer service.
Responsibilities
- Prepare, edit, and distribute a variety of business documents, including correspondence, reports, presentations, meeting agendas and minutes, and other organizational communications. Maintain accurate electronic and physical records in accordance with organizational policies.
- Serve as a point of contact for incoming communications, including phone calls, emails, and visitors. Provide information, direct inquiries to appropriate departments, resolve routine requests, and ensure a positive customer service experience.
- Coordinate and manage calendars, meetings, and appointments for leaders and teams. Schedule conference rooms, arrange catering and audiovisual support as needed, prepare meeting materials, and track attendance and follow-up actions.
- Assists with management of incoming and outgoing mail, packages, and courier services. Ensure timely distribution of correspondence and coordinate special handling requests when required.
- Maintain confidential departmental and organizational records, including correspondence, reports, contracts, expenses, and other sensitive documents.
- Support office operations by monitoring and ordering office supplies, equipment, and other resources to ensure business continuity and efficient operations.
- Assist with onboarding logistics for new employees, including workspace preparation, coordination with internal departments, and administrative support during orientation.
- Process invoices, purchase requests, expense reports, and other administrative transactions in a timely and accurate manner.
- Coordinate office events, employee meetings, and special activities, ensuring all logistical arrangements are completed effectively.
- Collaborate with internal stakeholders to improve administrative processes, enhance operational efficiency, and support department goals and initiatives.
- Participate in and complete special projects and other duties as assigned in support of organization objectives.
Qualifications
- High school diploma or GED.
- 2+ years of administrative assistance experience.
- Experience with Microsoft Office Suite
- Experience coordinating office operations or supporting leadership teams in a professional environment.
