Responsibilities
- Administrative support to Conference Services Managers and Wedding Mangers
- Weekly and Daily Distribution of BEO’s and Resumes
- Create planning visit site forms for both Conference Services and Wedding Managers, Distribute
- Attend select planning and site visits on an as needed basis
- Attend Pre-Convention Meetings and offer support to meeting planners while on site
- Create BEO’s for all in -house events
- Create event orders and distribute as directed by Catering or Conference Services Team Members.
- Assist on Corporate and Wedding Events on an as needed basis
- Manage, arrange and distribute information to facilitate all internal meetings at hotel.
- Answer and direct all service/sales/catering phone calls.
- Maintain work areas neat and organized.
- Maintain a good working relationship with other departments, employees and guests.
- Prepare , confirmations, thank-you letters, rooming lists.
- Prepare electronic files in Sales and Catering database, update and manage file as directed.
- Report all unsafe conditions immediately.
- Type letters, reports, forms.
- Maintain and keep all phases of the filing system current.
- Order or arrange V.I.P. amenities • Frequently. Identify and attempt to solve problems.
- Greet Visitors
- Record, type, and distribute notes of meetings.
- Attend mandatory meetings as assigned.
- Complete other duties as assigned by supervisor to include cross training.
- Develop and maintain filing system.
- Be available on weekends to help the wedding team with weddings and special events.
- Distribute contracts, memos, to assigned individuals.
- Log and maintain file on documents such as reader board surveys, pre-cons, celebration letters.
- Order office supplies.
- Responsible for computation for the month-end reports
Qualifications
- One year front office, reservations, sales, and/or catering experience preferred
- Food/Beverage Service Worker Permit, where applicable
- Basic computer skills
- Read, write and speak English fluently
- Valid driver’s license, where applicable
- Meet minimum age requirement of jurisdiction
- Ability to communicate effectively with the public and other Team Members
