Minimum Preparation for Work:
- Graduation from high school or equivalent and;
- Five (5) years experience in a highly responsible executive secretarial position with at least two (2) years in local government.
Necessary Special Requirements:
Nature of Work:
An employee in this class performs a wide variety of clerical tasks and frequently exercises independent judgment in the handling of routine policy matters. Work is evaluated through review of results attained.
Examples of Work:
- Responds to telephone inquiries from the media concerning current events.
- Schedules meetings with civic groups concerning speaking engagements.
- Responds to departmental personnel seeking status information on documents sent for signature, as well as requests for information and documents.
- Routes or handles incoming complaints or questions.
- Pulls any relevant documentation for appointment from files.
- Scans paper for news items relevant to municipal operations.
- Reviews appointment book for any meetings.
- Types letters and memorandums.
- Drafts and types press releases and routine inter-office memoranda.
- Assists in the final preparation and organization of Committee agendas.
- Works up trip itineraries and makes travel arrangements for Executive staff.
Knowledge, Skills and Abilities:
- Knowledge of the organization of City government, and the legal powers and duties of City officials and Council.
- Knowledge of office methods, practice and procedures.
- Skills in the operation of office equipment.
- Ability to communicate effectively, both orally and in writing.
- Ability to establish priorities.
- Ability to supervise subordinates.
- Ability to deal tactfully and courteously with the public and public officials.
- Ability to establish and maintain effective working relationships with associates and the general public.
