Overview
The Loan Operations SBG Loan Closing Specialist I coordinates routine and moderately complex loan closings by following established procedures, checklists, and escalation protocols. The position develops proficiency in reviewing due diligence documentation, satisfying approval conditions, and coordinating with internal and external partners. The Specialist I recognizes complex, unusual, or higher-risk matters and seeks guidance from the appropriate resource.
What You’ll Do
- Apply established policies, procedures, checklists, and condition sets to routine and moderately complex loan requests.
- Develop proficiency in reviewing standard loan documentation, collateral requirements, lien-perfection requirements, and third-party due diligence.
- Recognize documentation deficiencies, policy exceptions, unusual structures, and higher-risk issues and escalate them appropriately.
- Complete assigned closings with guidance available for complex or nonstandard transactions.
- Develop proficiency in applicable loan origination, closing, imaging, and servicing systems.
- Coordinates and reviews applicable due diligence documentation, which may include:
- Title commitment or title search
- UCC search
- Articles and resolutions
- Evaluation or real estate appraisal
- Environmental questionnaire or evaluation (Phase I/II)
- Flood determination
- Proof of insurance
- Survey
- Entity documents
- Monitor incoming assignments and actively track loans throughout the closing process.
- Use established condition sets, checklists, and loan requirements to determine applicable due diligence and documentation needs.
- Coordinate the ordering, receipt, and review of required third-party and borrower documentation.
- Review due diligence items to support accurate document preparation and appropriate lien perfection.
- Review loan requests for accurate use of purpose, class, collateral, and industry codes for document preparation and loan booking or boarding.
- Coordinate with underwriters to confirm the interpretation and satisfaction of loan-closing conditions.
- Calculate loan-to-value ratios and determine required insurance coverage.
- Review applications and initial loan documentation for compliance with applicable regulatory requirements and Bank policy.
- Monitor work queues and promptly follow up on outstanding vendor or borrower documentation.
- Obtain payoff information, as applicable, and ensure due diligence documentation is accurately indexed and retained.
- Maintain effective communication with lenders and other parties and update deal status in applicable systems.
- Follow established processes to support departmental service-level agreements and individual turnaround-time expectations.
- Determine when applicable underwriting approval conditions have been satisfied and the loan is ready for document preparation.
- Coordinate closing dates and document preparation with quality control, lenders, attorneys, title companies, customers, and other applicable parties.
- Review loan documents, as assigned, to confirm alignment with the approved credit terms.
- Participate in required compliance, technical, and professional-development training.
- Adhere to Corporate and Loan Operations policies and procedures.
- Provide professional, responsive service to internal and external clients while balancing multiple priorities and deadlines.
Client Service and Collaboration
- Promote a collaborative working relationship among lenders, underwriters, Document Preparation, the Loan Processing Center, and other internal partners.
- Provide timely, complete, and accurate responses to inquiries.
- Maintain appropriate communication with lenders, attorneys, title companies, third-party vendors, and other participants regarding loans in process.
- Handle interactions professionally, ethically, and with a focus on the client experience.
- Support the quality and service goals of the Bank.
Productivity and Quality
- Meet applicable quality, productivity, service-level, and turnaround-time standards.
- Track and report production activity as defined by management.
- Manage assigned workload during periods of fluctuating volume.
- Maintain accurate data and documentation in applicable systems, workflow tools, and imaging platforms.
Policy, Regulatory, and Product Knowledge
- Working knowledge of commonly used commercial loan products and applicable commercial lending credit policies and guidelines.
- Working knowledge of standard loan documentation, collateral evaluation, lien perfection, and applicable local, state, and federal regulatory requirements.
- Knowledge and application of relevant fair-lending and regulatory requirements, including CIP, Regulation H, HMDA, CRA, and Regulation O, as applicable to the role.
- Ability to review vendor and third-party documentation for alignment with established policy, guidelines, and closing requirements.
- Ability to calculate loan-to-value ratios and required insurance amounts.
- Knowledge of procedures related to ordering, reviewing, and receiving required documentation.
- Ability to recognize complex or nonstandard credit requests, including transactions involving multiple funding sources, contracts, equity requirements, rate options, tiered pricing, or takeout agreements, and seek guidance as appropriate.
- Compliance Training: Participate in all required compliance training, including Bank Secrecy Act/anti-money laundering training, as well as internal and external training programs, online training, meetings, and seminars/conferences, etc.

Requirements For Success
- Education: High School graduate or similar certificate and equivalent experience in a related field acceptable, College Degree Preferred
- Experience: 1-2 years’ work experience in a financial institution with a focus on due diligence and/or loan documentation, 1+ years commercial loan documentation experience.
- Required Skills:
- Good time-management, organizational, verbal, written, and interpersonal skills.
- Working knowledge of common vendor documents, including title work, automated valuation models, appraisals, flood determinations, and lien searches.
- Developing proficiency in Banker Hill, NewGen, 360 View, LaserPro, TruStage, Navigator, and other applicable internal banking systems.
- Proficiency with Microsoft Excel, Word, email, and related business applications.
- Ability to manage multiple priorities, maintain attention to detail, meet deadlines, and work with appropriate direction.
- Ability to recognize issues requiring problem-solving or decision-making and escalate them to the appropriate resource.
- Experience in an automated loan-origination environment is preferred.
