- Office & Document Support: Prepare, format, and review letters, reports, memos, and routine business documentation with high accuracy.
- Data Entry & Records Management: Maintain and update electronic filing systems, databases, and digital records ensuring strict confidentiality.
- Communication & Correspondence: Screen incoming calls, route emails, distribute incoming mail, and handle general inquiries in a professional manner.
- Calendar & Schedule Coordination: Assist in scheduling meetings, reserving conference rooms, and sending calendar invites for internal and external stakeholders.
- Visitor & Guest Coordination: Welcoming visitors, coordinating security passes, and providing basic guidance upon arrival.
- Supply & Inventory Control: Monitor office stationery and supply levels; place replenishment orders as needed.
- Event & Logistics Assistance: Support the planning and execution of internal workshops, team events, and training sessions.
- Internal: Frequent collaboration with department managers, administrative peers, HR, IT support, and internal cross-functional teams.
- External: Professional interactions with vendors, office suppliers, visitors, and external clients/service providers.
- Adhere to follow all company Quality, Health, Safety, And Environmental (QHSE) policies, procedures, and legal requirements.
- Promptly identify and report unsafe conditions, incidents, and near misses to the appropriate supervisor or QHSE team.
- Properly use, maintain, and store personal protective equipment (PPE) and safety tools as required by the job.
- Attend and actively participate in mandatory Safety inductions, HSE trainings, safety meetings, emergency drills and root cause investigations.
- Follow established emergency response procedures, including evacuation plans, fire response, and first aid if trained.
- Follow protocols to minimize environmental impact, including proper waste disposal and reporting spills or leaks.
- Provide suggestions to enhance Quality, Health, Safety and Environmental procedures and take responsibility and initiatives for continual improvement
- Diploma or Bachelor’s degree in Business Administration, Office Management, Literature, or any relevant discipline (or equivalent practical experience).
- Experience: Minimum 1–3 years of experience in an administrative, clerical, customer service, or front-office support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace. Familiarity with assistive technologies (e.g., screen readers, speech-to-text software, adaptive keyboards) where applicable.
- Core Skills: Strong written and verbal communication skills. Fast and accurate typing, data entry, and record-keeping ability. Strong time management and multi-tasking skills.
- Attention to Detail: Meticulous approach to documentation, calendar management, and record accuracy.
