Description
We are looking for a decisive and proactive Workplace Operations Manager with strong problem-solving skills to oversee our overall office facilities, ensuring a clean, highly organized, and optimal work environment. This role also encompasses the management of high-value storage areas and studio spaces. You will serve as the frontline coordinator for employees at all levels, regional teams, contractors, and building management. Furthermore, you will manage budgets, lead physical inventory audits, leverage technology/AI to optimize processes, and coach an operational team member to ensure smooth and transparent daily operations.
What You'll Do
- Office Environment & Space Management: Manage the office environment to ensure it is clean, highly organized, and always ready for use. Oversee the housekeeping team to ensure they consistently meet company standards.
- Process Improvement & AI Utilization: Identify opportunities to improve workflows and integrate technology or AI tools (e.g., expense data analysis, drafting corporate communications, or managing booking systems) to reduce manual workloads and enhance team efficiency.
- High-Value Storage & Inventory Audit: Supervise the team in managing high-value storage areas in strict compliance with company policies. Prepare monthly summary reports and lead the physical inventory count every 3 months, presenting the Inventory Audit report to the executive team.
- Facilities Maintenance & Contractor Coordination: Coordinate directly with building management and external contractors to manage maintenance and swiftly resolve on-site issues (e.g., HVAC, electrical, plumbing, internet connectivity) to minimize downtime.
- Expense Tracking & Cost Optimization: Systematically monitor, track, and record office expenses. Analyze financial data to identify areas for cost reduction and efficiency improvements without compromising the quality of employees' work life.
- Studio Operations: Manage studio spaces and oversee general orderliness. Handle the booking system and routine equipment maintenance to ensure the studio is always ready for use.
- All-Level Stakeholder & Regional Coordination: Act as the Single Point of Contact (SPOC) to coordinate, facilitate, and resolve issues for employees at all levels. Welcome and assist top executives and regional teams traveling to Thailand.
- Team Leadership: Supervise, delegate tasks, and coach 1 operational team member to effectively execute daily tasks without the need for micromanagement.
- Admin Policy Enforcement: Oversee the utilization of shared resources and corporate benefits (e.g., Grab Corporate accounts, office supplies). Establish guidelines and communicate them clearly to ensure strict and professional compliance across the organization.
Who You Are
- 5-8 years of experience in Office Management, Facilities, Workplace Operations, or managing studios and storage/inventory spaces. (Experience in a Tech Company or Multinational Corporation is highly preferred).
- Tech-Savvy & Open to AI: Familiar with management software/technologies and open to adopting AI tools to automate tasks and improve operational workflows.
- Inventory & Asset Management Experience: Direct hands-on experience in conducting physical inventory counts, stock checks, and preparing comprehensive audit reports for management.
- Proven track record in budget tracking, vendor negotiation, and dealing directly with contractors or building technicians.
- Problem-Solver & Decisive: Highly resourceful in resolving immediate on-site issues, calm under pressure, and confident in making independent decisions within the scope of authority.
- English Proficiency: Strong command of English (both spoken and written) to smoothly coordinate with regional and international teams.
- Strong Interpersonal Skills: High emotional intelligence (EQ). Able to handle and communicate professionally with people at all levels. Capable of saying "no," negotiating, or enforcing policies in a "firm but polite" manner.
