People & Culture Specialist
Role Overview: The People & Culture Coordinator is an on-site position located in the Dahlgren office that reports to the Director of People & Culture and serves as the primary local People & Culture resource for East Coast employees. The position supports employee onboarding, offboarding, employee engagement, and routine P&C needs while serving as the local connection between East Coast employees and the corporate People & Culture team.
The Coordinator also supports day-to-day Dahlgren office operations and works closely with the Director of Service Delivery and local Program Manager to address administrative and operational requirements. The Coordinator will identify and resolve routine office issues and promptly elevate significant facility, personnel, or operational concerns to the Director of Service Delivery. The ideal candidate is highly organized, approachable, proactive, and comfortable balancing employee support with program and administrative priorities.
Roles and Responsibilities:
People & Culture Support
Facilitate in person new employee orientation for employees located in Dahlgren and provide virtual orientation support for other East Coast new hires.
Support the onboarding and offboarding experience, ensuring employees receive timely information, resources, and coordination throughout the process.
Serve as an accessible local P&C resource for employees, answering general questions related to benefits, payroll, company policies, employment information, and internal processes.
Partner closely with the P&C Generalist and Director of People & Culture to escalate and support more nuanced matters involving benefits, leave, performance management, employee relations, accommodations, or other sensitive employee concerns.
Assist with employee engagement initiatives, communications, recognition efforts, and other activities that support a positive employee experience and strong company culture.
Help ensure required employee documentation, acknowledgments, and P&C related administrative tasks are completed accurately and timely.
Maintain appropriate confidentiality when handling employee information and sensitive workplace matters.
Program & PMO Support
Support the Program Manager with day to day program administration and coordination, serving as a resource for administrative and operational project needs.
Coordinate and track recurring contract deliverables, including Monthly Status Reports (MSRs), Contract Data Requirements Lists (CDRLs), status reports, and other customer required submissions to support timely completion.
Coordinate program specific onboarding and offboarding requirements, including access and account requests, required documentation, customer or site requirements, and coordination with internal support functions.
Serve as a liaison between the program and PMO for routine administrative requirements, helping ensure established processes, templates, reporting requirements, and deadlines are followed.
Maintain program trackers, documentation, recurring deadlines, and other administrative resources as needed.
Assist the Program Manager with meeting coordination, documentation, action item tracking, and other program administration activities.
Office & Administrative Support
Serve as the primary point of contact for day-to-day office administration and operational needs for the Dahlgren office.
Maintain a professional, organized, and welcoming office environment, including monitoring and replenishing office supplies.
Coordinate meeting and conference spaces, ensuring appropriate access, equipment, technology, and other resources are available and functioning.
Coordinate office deliveries, mail, vendors, maintenance requests, property management needs, and other facility related matters.
Support visiting employees, leadership, customers, and other guests with local office logistics as needed.
Identify office needs or issues proactively and coordinate with the appropriate internal or external resources to resolve them.
Provide general administrative support to local leadership and corporate teams as business needs arise.
Qualifications:
Required:
3+ years of experience in human resources, office administration, program coordination, project administration, or a related support role.
Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
Excellent interpersonal and communication skills with the ability to build trusted relationships with employees at all levels.
Strong attention to detail and follow through.
Ability to exercise discretion and maintain confidentiality when working with employee and company information.
Comfortable working independently while partnering with geographically dispersed corporate teams.
Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
Experience supporting government contracting, federal programs, or a PMO environment preferred.
Experience with HRIS, project management, or contract administration systems preferred.
