Job Description:
We are seeking a highly organized, proactive, and resourceful Senior Executive Assistant to the CEO to provide dedicated support to a dynamic executive at Job Duck. In this role, you will serve as a trusted partner responsible for managing priorities, protecting the CEO's time, and ensuring daily operations run efficiently. You will play a critical role in coordinating schedules, managing communications, facilitating meetings, conducting research, and supporting both strategic and administrative initiatives. The ideal candidate thrives in a fast paced environment, anticipates needs before they arise, and demonstrates exceptional professionalism, discretion, and sound judgment. •Monthly compensation: 1200 USD
Responsibilities include, but are not limited to:
- Send meeting reminders five minutes before scheduled meetings
- Review and monitor the CEO's GSU and firm email accounts, identifying and escalating important matters requiring attention.
- Protect the CEO's time and mental space by managing interruptions, prioritizing commitments, and maintaining focus on key objectives.
- Answer and place phone calls as needed.
- Prepare meeting notes and maintain accurate records of discussions and action items.
- Attend meetings on behalf of or alongside the CEO when required.
- Prepare, organize, and distribute the CEO's daily agenda.
- Coordinate and schedule meetings, appointments, and events as requested.
- Manage and maintain the CEO's calendar, ensuring priorities are aligned and scheduling conflicts are proactively resolved.
- Maintain strict confidentiality while handling sensitive business and personal information
- Make payments and complete administrative transactions as directed.
- Anticipate needs, identify potential issues, and implement solutions proactively.
- Announce, coordinate, and attend office hours as required.
- Support preparation and coordination for L10 meetings, check in meetings, office hours, and other recurring leadership meetings.
- Update and maintain the CEO's task lists and follow up on pending action items.
- Liaise with internal teams to ensure projects, priorities, and commitments remain organized and on track.
- Conduct research and gather information to support decision making and ongoing initiatives
- Assist with personal and professional tasks that support the CEO's priorities.
- Coordinate travel arrangements, itineraries, and related logistics
Requirements:
2+ years of experience as an Executive Assistant, Administrative Assistant, or similar administrative support role
•Experience supporting a senior executive, founder, or leadership team
•Experience coordinating travel arrangements and managing complex calendars
• Software & Tools: Microsoft Office Suite, Zoom, Microsoft Teams, Calendly
•Excellent written and verbal communication skills •
•Strong organizational and time management abilities
•Ability to prioritize multiple tasks in a fast paced, fast changing environment
•Ability to work independently with little to no supervision
•High level of confidentiality and professional judgment
•Comfortable performing research and handling executive support tasks
