Description
The Compensation and Benefits Coordinator is responsible for executing, supporting, and continuously improving the company’s compensation, benefits, and payroll operations.
Key Responsibilities:
Payroll Administration;
- Manage full-cycle payroll processing, ensuring monthly payroll is executed accurately, timely, and in compliance with statutory and company policies.
- Validate completeness of payroll inputs including new hires, promotions, transfers, overtime, allowances, deductions, loans, advances, penalties, and variable pay elements.
- Review and reconcile payroll reports before submission to the Compensation & Benefits Specialist for approval.
- Ensure 100% compliance with statutory remittances: PAYE, NSSF, NHIF, WCF, SDL, and any emerging government directives.
- Prepare payroll variance analyses and monthly reconciliation reports for Finance.
- Process exit payroll, including leave encashments, final dues, and statutory clearances.
- Maintain audit-ready payroll documentation, ensuring digital and physical records are updated and securely stored.
- Support payroll system enhancements, troubleshooting, and testing new features or upgrades.
Benefits Administration;
- Coordinate end-to-end administration of all employee benefits: medical, insurance, pension, wellness programs, and other benefit offerings.
- Ensure timely enrolment of new employees into benefit schemes and accurate removal of staff exiting the company.
- Liaise with medical service providers, insurance companies, and pension administrators to ensure smooth handling of claims, member statements, communication, and escalations.
- Update and review benefit utilization trends and identify opportunities for cost reduction or improved employee experience.
- Coordinate periodic benefits sensitisation sessions and respond to all employee queries with high service quality.
- Maintain comprehensive benefits databases, reports, membership files, and contracts.
Compensation Management;
- Support salary benchmarking, compensation surveys, and job evaluation exercises to ensure internal equity and external competitiveness.
- Assist with the development and review of compensation policies and guidelines.
- Ensure all compensation practices comply with employment laws, collective bargaining agreements, and internal HR frameworks.
- Review loan and staff advance requests for policy compliance before processing.
- Generate compensation insights and analytics to support management decision-making.
Data Management, Systems, & Reporting;
- Maintain accurate employee data in HRIS/ERP (SAP / SAGE), ensuring updates reflect organizational structures and employee movements.
- Generate monthly, quarterly, and annual reports on payroll, compensation trends, benefits utilization, and compliance metrics.
- Support HR and financial audits, ensuring required documents are well-organized and easily accessible.
- Drive continuous improvement in data integrity, automation opportunities, and digitization of compensation and benefits processes.
Expatriate Management;
- Maintain a comprehensive database of expatriate work permits, visa statuses, renewal timelines, and compliance requirements.
- Work with immigration consultants, expatriate employees, and HR colleagues to ensure timely on boarding, renewals, and cancellations during exit.
- Prepare all required forms, letters, and documentation for immigration submissions.
- Provide guidance to expatriates on requirements and ensure a smooth transition throughout their employment lifecycle.
Employee Experience & Internal Stakeholder Support;
- Act as the primary point of contact for all payroll and benefits-related queries, ensuring issues are resolved within defined SLA.
- Conduct employee financial wellness sensitisation (e.g., pension education, benefits awareness).
- Support HR business partners with compensation-related data for employee relations or performance management cases.
- Build effective working relationships with Finance, HR and external providers to ensure seamless service delivery.
Policy Compliance & Governance;
- Ensure compliance with Labour laws, tax regulations, pension regulations, and all corporate governance standards.
- Support periodic review and update of C&B policies, SOPs, and process manuals.
- Monitor and report any risks, discrepancies, or non-compliance issues for corrective action.
Qualifications & Competencies:
- Bachelor in Finance, HR, Accounting or related field.
- 5 years of working experience; 3 years hands-on experience in payroll, compensation and benefits.
- CPA Certification; HR professional certification an added advantage.
- Knowledge of labor laws, statutory benefits, and market trends.
- Experience in manufacturing or FMCG procurement preferred.
- Excellent communication, interpersonal, and customer service skills, strong analytical and numerical skills.
- Structured, detail-oriented, and proactive thinker, high level of integrity, confidentiality, and ethical judgement.
- Proficient in SAP/SAGE ERP systems and advanced MS Excel.
- Ability to work under pressure, manage multiple tasks, and meet tight deadlines.
- Ability to collaborate across functions and build strong stakeholder relationships.
- End user of ERP System is Must – SAP/SAGE ERP System preferably.
- Well conversant with MS - Excel, Word, Power Point, Microsoft Outlook.
