We partner with organisations to responsibly collect, refurbish, and redistribute devices to underserved women and youth, enabling access to education, livelihoods, and digital opportunities while reducing e-waste.

ABOUT THE ROLE
At Sama, our impact goes far beyond collecting and distributing laptops. Behind every device that reaches a learner is a network of logistics, inventory management, refurbishment, partner coordination, documentation, and operational systems that work together seamlessly.
We're looking for an Operations Specialist who is digitally savvy and excited about solving operational challenges through technology, systems, and process improvement. This isn't a role for someone who simply executes tasks, we're looking for someone who enjoys asking "How can we make this better?" and builds scalable systems that improve how we operate.
You'll work closely with internal teams, vendors, logistics partners, and partner organisations to ensure our operations are efficient, reliable, and ready to scale.
This is a hybrid role: 40% remote (systems building, tracking, automation, vendor coordination) and 60% travel (warehouse visits, partner visits, operational audits, and process improvements).
WHAT YOU WILL DO
Operations Ownership

Own day-to-day operational health across Sama's logistics and partner network.

Coordinate with internal teams to ensure laptops and operational resources move efficiently.

Build and maintain SOPs, checklists, and operational processes that improve consistency across teams.

Visit partner organisations, warehouses, and operational sites to identify gaps and improve execution.

Support procurement and operational planning for new initiatives.
Systems, Tracking & Reporting

Build and maintain live dashboards tracking inventory, logistics, operational health, and key metrics.

Document recurring operational issues and design long-term solutions.

Share regular operational updates with the team and proactively highlight risks.

Continuously improve operational visibility through better reporting and documentation.
Digital Operations & Process Improvement

Identify repetitive manual work and explore opportunities for automation.

Build simple workflows, trackers, and dashboards using digital tools.

Leverage AI and no-code tools to improve operational efficiency wherever possible.

Design systems that scale as Sama grows, reducing dependency on manual processes.
Vendor & Partner Management

Coordinate with logistics providers, refurbishment partners, and vendors.

Track deliveries, repairs, and operational timelines.

Build strong relationships with partners while ensuring service quality and accountability.

Maintain documentation related to vendors, inventory, and operational processes.
Inventory & Device Management

Maintain an accurate inventory of laptops, accessories, and operational assets.

Manage the complete device lifecycle—from procurement and refurbishment to allocation, repairs, redistribution, and retirement.

Conduct regular inventory audits and ensure data accuracy.

Coordinate device movement across warehouses, partners, and beneficiaries.

WHAT WE'RE LOOKING FOR

2–5 years of experience in operations, logistics, programme management, supply chain, or a related field.

Experience managing inventories, logistics, vendors, or operational workflows.

Strong organisational skills with excellent attention to detail.
-
Ability to create SOPs, documentation, dashboards, and operational playbooks.

Comfortable working with Google Workspace, spreadsheets, and digital collaboration tools.

Curiosity to explore AI, automation, and no-code tools to improve operational efficiency.

Comfortable travelling regularly to partner locations across India.
-
Strong communication and stakeholder management skills.
-
Working proficiency in Hindi is preferred; regional language is a bonus.

Since we are a not-for-profit organisation, our salaries are more modest compared to corporate roles. For some candidates, this may mean a 50–60% difference from their current compensation.
