Alumni Engagement
- Develop and maintain meaningful relationships with Apex alumni.
- Serve as a primary point of contact for alumni-related communication and engagement.
- Maintain an organized alumni contact database in accordance with company policies and confidentiality requirements.
- Conduct appropriate alumni outreach and follow-up.
- Encourage alumni participation in appropriate Apex events and community activities.
- Identify opportunities to improve alumni engagement and retention.
Alumni Programming & Events
- Plan, coordinate, and execute alumni events, meetings, celebrations, and activities.
- Develop a monthly alumni engagement calendar.
- Coordinate alumni groups, gatherings, service projects, recreational activities, and other approved events.
- Work with the Outreach/Business Development team to identify appropriate community events and partnerships.
- Coordinate logistics including scheduling, invitations, communication, supplies, vendors, and event follow-up.
- Track attendance and engagement for alumni activities.
Communication & Community Building
- Develop alumni newsletters, announcements, invitations, and other approved communications.
- Help maintain approved alumni communication channels and social media content.
- Create engaging and recovery-focused content in collaboration with Marketing/Outreach.
- Celebrate alumni milestones and accomplishments in accordance with privacy and consent requirements.
- Promote a positive, inclusive, and supportive alumni culture.
Community & Outreach
- Build relationships with appropriate community organizations, recovery resources, and local partners.
- Participate in approved community events and outreach activities.
- Help connect alumni with appropriate community resources when requested.
- Collaborate with the Admissions and Business Development teams when alumni identify individuals who may need treatment, while maintaining appropriate boundaries and confidentiality.
- Represent Apex professionally at community and alumni events.
Internal Collaboration
- Collaborate with Clinical, Admissions, Business Development, Outreach, and Operations teams.
- Communicate relevant alumni trends, needs, and engagement opportunities to leadership.
- Participate in staff meetings and other meetings as assigned.
- Assist with special projects related to alumni engagement, retention, and community development.
Administrative Responsibilities
- Maintain accurate alumni records and engagement documentation.
- Track alumni event attendance and participation.
- Prepare monthly alumni activity reports for leadership.
- Monitor alumni engagement metrics and identify trends.
- Maintain an annual calendar of alumni events and initiatives.
- Manage approved alumni-related expenses and event budgets.
- Ensure all communications and activities follow Apex policies and applicable confidentiality requirements.
Confidentiality & Professional Boundaries
The Alumni Coordinator must maintain strict confidentiality regarding current and former clients.
This position does not provide clinical services, counseling, case management, or treatment recommendationsunless separately licensed, credentialed, and specifically authorized to perform those duties.
The Alumni Coordinator must:
- Maintain appropriate professional boundaries with alumni.
- Protect confidential client and alumni information.
- Follow HIPAA and Apex confidentiality requirements.
- Obtain appropriate authorization before using alumni names, photographs, testimonials, or stories publicly.
- Immediately refer clinical, crisis, or treatment-related concerns to the appropriate licensed professional or leadership member.
- Follow all applicable Apex policies and procedures.
Requirements
Required:
- High school diploma or equivalent.
- Previous experience in behavioral health, recovery services, hospitality, community outreach, customer service, event coordination, or a related field preferred.
- Strong interpersonal and communication skills.
- Excellent organizational and time-management skills.
- Ability to maintain confidentiality and professional boundaries.
- Ability to work independently while collaborating effectively with a team.
- Comfortable communicating by phone, email, text, and in person.
- Strong attention to detail.
- Ability to coordinate multiple projects and events simultaneously.
Preferred:
- Experience working in addiction treatment or behavioral healthcare.
- Experience coordinating alumni or community programs.
- Peer Recovery Specialist or similar certification.
- Experience with event planning, community outreach, or marketing.
- Familiarity with HIPAA and behavioral health confidentiality requirements.
- Personal experience within the recovery community may be valued when appropriate and disclosed voluntarily, but is not required.
