The Office Coordinator provides routine administrative, clerical, and logistical support for the Nurse Anesthesia Education department. This position performs standardized, task based work to support academic operations, accreditation activities, and departmental administration under the direction of program leadership and senior administrative staff. The role is designed to absorb transactional duties, allowing senior level coordinators to focus on compliance critical, operational, and strategic responsibilities.Job Description:
Job Responsibilities
Administrative & Clerical Support
Perform routine data entry, record updates, and document maintenance in academic and administrative systems.
Prepare correspondence, forms, and standard communications using established templates.
Maintain electronic and physical filing systems in accordance with departmental and institutional requirements.
Assist with document formatting, copying, scanning, and distribution.
Scheduling & Logistical Support
Assist with scheduling meetings, classes, interviews, and events using departmental calendars.
Prepare meeting materials and agendas as directed.
Record meeting minutes and distribute materials.
Coordinate room reservations, audiovisual needs, and event logistics.
Academic & Student Support
Assist with academic record updates, evaluation distribution, and data entry related to student progress.
Support student onboarding and graduation processes through checklist completion and document preparation.
Respond to routine student, faculty, and staff inquiries and route complex issues to senior coordinators.
Accreditation & Compliance Support
Assist with preparation and organization of accreditation and regulatory documentation.
Maintain documentation repositories and ensure files are complete and accessible.
Support data collection activities under the direction of senior staff.
Financial & Operational Support
Initiate purchasing and travel requests in accordance with established procedures.
Track invoices, receipts, and expense documentation for review by senior coordinators.
Assist with supply ordering and inventory tracking.
Support payroll and timekeeping processes through data collection and submission preparation.

Required Qualifications
Work Experience:
Five (5) years of experience providing clerical or administrative support in an academic, healthcare, or office environment.
Experience managing multiple tasks and meeting deadlines.
Preferred Qualifications
Education: Associate’s degree in a relevant field.
Work Experience:
Experience working in higher education or an academic health environment.
Familiarity with student information systems or learning management systems.

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
