Position Summary:To coordinate and facilitate the flow of communications, both oral and written between the administrative staff, sales teams, and suppliers/vendors.
Job Description:
Job Responsibilities:
- Manage administrative and office staffs
- Manage the front receptionist and coverage for the front desk
- Manage outside janitorial team. Assign duties and address service issues as needed.
- Manage all administrative sales for the sales divisions by communicating job expectations, appraising job results, and disciplining employees
- Oversee onsite printing and shipping staff ensuring they meet the needs of Breakthru
- Coordinate updating of office furniture by outside vendor
- Provide direction to any third-party staff in the building for meetings or maintenance
- Oversee and manage all office operations
- Set and manage the office budget, including supply inventory
- Ensure all office-based systems are in working order
- Develop, implement, and manage office procedures
- Complete all office layout planning and moves, partnering with IT for completion of these moves
- Manage office access to include badges
- Schedule appropriate maintenance is performed (HVAC, pest, etc)
- Develop and manage events
- Ensure supplier events on building property are a success by ensuring staffing, cleanliness, and communication for the event
- Create events in conjunction with the AEC to drive associate engagement
- Coordinate associate events on and off the property to include budgeting and invoicing for events, liaising and negotiating with vendors and handling overall logistics of the event.
- Will Call administration
- Ensure all will call orders are processed correctly and in a timely manner
- Prompt communication with sales staff regarding will calls
- Administrative tasks
- Manage the EVP and head leadership team’s schedules
- Publish and update the state SharePoint site
- Coordinate all event tickets for suppliers and internal employees
- Create, process, follow-up, and approve purchase requisitions
- Other duties, as assigned by the jobholder’s supervisor, may also be required.
Minimum Qualifications:
- Bachelor’s degree in related field and/or equivalent training and work experience
- Minimum of 2 year of experience in administration and management
- Proficient PC skills using MS Office and other various computer programs including presentation software
- Must be a results-oriented professional with verbal/written communication skills using diplomacy and discretion as well as customer service skills
- Ability to multi-task, work independently and/or within a team, pay attention to detail and meet deadlines
- Analytic and Reporting skills
- Utilize sound judgement and problem-solving skills
- Ability to work in fast-paced, high-volume, team environment
Preferred Qualifications:
- Beverage Industry experience
- Experience working and leading outside venders
Physical Requirements:
- While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone
Competencies:
- Accountable for meeting own targets, work is reviewed periodically.
- Problems encountered will be defined, repetitive, and routine with a solution readily available.
