MARKETING AND BUSINESS DEVELOPMENT COORDINATOR/ASSISTANT – SACRAMENTO
THE OPPORTUNITY
Weintraub Tobin, a leading California law firm with more than 80 attorneys across five locations, is seeking a full-time Marketing & Business Development Coordinator to join our Sacramento office.
This is an exciting opportunity for an early-career marketing professional who is eager to learn, enjoys variety in their work, and thrives in a fast-paced, collaborative environment. As a key member of the Marketing & Business Development Department, you will play an integral role in supporting the firm's marketing, communications, business development, and client engagement initiatives. From developing email marketing campaigns and creating engaging website content to coordinating events, maintaining CRM data, and supporting attorney requests across the firm, no two days are the same.
A hybrid work arrangement may be available after 90 days, with three (3) days in the office and two (2) days remote.
POSITION SUMMARY
The Marketing & Business Development Coordinator serves as the operational backbone of the Marketing & Business Development Department, supporting attorneys and practice groups across the firm. This role coordinates a wide range of marketing and business development initiatives while helping ensure projects are completed accurately, efficiently, and on schedule.
The ideal candidate is an exceptional organizer with strong writing and proofreading skills, meticulous attention to detail, and the ability to successfully balance multiple projects and deadlines. They enjoy collaborating with others, proactively diving into projects, adapting to shifting priorities, and approaching every task – large or small – with professionalism, enthusiasm, and a service-oriented mindset.
RESPONSIBILITIES
Marketing & Communications
- Develop, coordinate, and execute the firm's email marketing campaigns, including client alerts, newsletters, event invitations, webinar promotions, and other external communications.
- Draft, proofread, edit, and format marketing materials, attorney biographies, announcements, website content, invitations, and other communications to ensure accuracy, consistency, and adherence to firm brand standards.
- Coordinate mailing lists and email distributions through the firm's CRM and email marketing platform.
- Assist with the development of website content updates.
- Develop and proof attorney PowerPoint presentations to ensure the materials used for external conferences and seminars are consistent with the firm brand and are also concise, visual, and engaging.
- Coordinate legal directory submissions, award nominations, and attorney recognition opportunities.
CRM & Marketing Operations
- Maintain and enhance the firm's CRM database through ongoing data management, quality control, list building, and data cleanup projects.
- Develop and maintain targeted mailing lists to support firm marketing initiatives.
- Provide user support for CRM-related questions and assist with maintaining marketing technology platforms.
- Help ensure the accuracy and integrity of marketing data across firm systems.
Events & Client Engagement
- Assist Senior Marketing Specialist with the planning and execution of client events, seminars, webinars, sponsorships, conferences, and networking programs.
- Coordinate invitations, registration, event materials, vendor communications, attendee tracking, and post-event follow-up.
- Support attorneys and the marketing team to ensure successful execution of firm events and business development initiatives.
Department Operations & Administrative Support
- Monitor the Marketing & Business Development Department inbox and coordinate marketing requests from attorneys and practice groups.
- Track projects and deadlines while helping ensure timely completion of marketing initiatives.
- Process marketing invoices, maintain expense records, and assist with departmental budgeting and vendor coordination.
- Maintain departmental files, calendars, procedures, and internal resources.
- Provide administrative and project support to the Marketing & Business Development Department while assisting with special projects and team initiatives as needed.
- Contribute to a collaborative, team-first culture by identifying opportunities to improve processes and supporting colleagues whenever needed.
Requirements
QUALIFICATIONS
- Bachelor's degree in Marketing, Communications, English, Business, or a related field.
- One to three years of marketing, communications, administrative, or business development experience, preferably within a law firm or other professional services environment. Relevant internships and comparable experience will also be considered.
- Exceptional written communication, proofreading, and editing skills.
- Outstanding attention to detail and commitment to producing accurate, polished work.
- Excellent organizational and time management skills with the ability to manage numerous projects and deadlines simultaneously.
- Strong interpersonal skills and a customer-service mindset with the ability to work effectively with attorneys, staff, vendors, and clients.
- Experience with CRM systems and email marketing platforms such as Nexl, Constant Contact or similar software is preferred.
- Working knowledge of Microsoft Office; experience with WordPress and Canva is a plus.
- A proactive, resourceful, and adaptable approach to work with a willingness to learn new skills and take on projects of all sizes.
- Positive attitude, strong work ethic, and a belief that no task is too small when supporting the success of the team and the firm.

Salary range: $50,000-$75,000 (based upon years of experience)
