Description
Industrial Finishes & Systems is looking for an Office & Facilities Coordinator to help keep our workplace organized, welcoming, and running smoothly. This is a part-time, in-person position at our home office in west Eugene, and we're happy to offer flexibility in how the workweek is structured.
Depending on your availability and preference, the position could be:
- 5 days per week: approximately 5-hour days (8a start)
- 4 days per week: 6-7 hour days (8a start)
The schedule will generally be consistent, but some flexibility around meetings, special projects, and specific office needs will occasionally be important. We'll provide as much advance notice as possible and will work with you to plan around those needs. Our goal is to find the right person and a schedule that works well for both you and the business.
This job is equal parts organizer, problem-solver, and first impression. You'll be the voice that greets our customers and vendors on the phone, the eyes that notice when the supply closet is running low, and the hands that make sure our office and facility are clean, stocked, and running well every single day.
We're a team that works hard, keeps our egos in check, and doesn't take ourselves too seriously. If you're the kind of person whose smile comes through in your voice - even over the phone - we'd love to meet you.
What You'll Do
Compensation: $23-27/ hour, based on experience
The Office & Facilities Coordinator is the primary point of contact for all office and facilities matters, ensuring smooth day-to-day operation of the workplace. This role blends office administration with facilities and vendor oversight, including:
- Maintaining a clean, organized, welcoming front desk and common office areas
- Ensuring coffee, water, and office/copy room supplies are stocked, coordinating with vendors as needed
- Serving as primary point of contact for building service vendors (janitorial, plant care, mail, elevator, and more)
- Coordinating approved office changes, furniture updates, and employee/office moves
- Supporting the Risk & Safety Manager in helping ensure the building meets OSHA and related safety requirements
- Owning the tracking and documentation of maintenance inspections and outstanding requests
What We're Looking For
- Humble - you don't need the spotlight to do great work
- Confident - you can make a decision, own a mistake, and keep moving
- Fun - you bring good energy to the room
- A friendly, clear phone manner - bonus points if people can hear you smiling
- Strong organizational skills and attention to detail
- Comfortable juggling a few things at once without dropping the ball
- Basic computer skills (email, scheduling tools, spreadsheets)
- Prior office, administrative, or facilities experience is a plus, but not required - attitude counts for a lot here
Who We Are
Industrial Finishes & Systems has been serving customers for more than 68 years. What began as a local business has grown into a stable and increasingly complex organization with:
- More than 40 locations
- Operations in over 17 states
- Nearly 400 employees
- Customers across the automotive, industrial, aerospace, recreational vehicle, and specialty-vehicle markets
We're proud of our history, but we're not standing still - we continue to grow, invest in our people, and prepare the organization for the future. Our culture is grounded, in part, in Christian values of serving others, gratitude, genuine relationships, and integrity.
Why Industrial Finishes & Systems?
Some companies offer stability. Others offer growth. We offer both. You'll join a team with a 68-year history and a steady, well-established presence - the kind of place where you can settle in, know what to expect, and still find room to grow your skills over time.
You'll work closely with the people who keep this office running, have your contributions noticed, and be part of a company that's proud of where it's been and intentional about where it's going.
If that sounds like the right fit, we'd love to hear from you.
