Job Purpose:
We are looking for a sharp, highly organized, and discreet Executive Assistant to support the Country Head and, where needed, other members of the India leadership team. The role requires close coordination with leaders and teams across four locations in India, strong judgment, and the ability to manage competing priorities in a fast-paced, confidential environment. Candidates with experience working in the India GCC/GIC of a UK, Europe, or US-headquartered organization with a multi-location India presence are strongly preferred, given the cross-time-zone and cross-location coordination this role demands.

Job Overview
Key Responsibilities:
Calendar & Schedule Management
- Proactively manage complex calendars for the Country Head and other leaders, resolving scheduling conflicts and prioritizing based on business criticality.
- Coordinate meetings across India's four office locations as well as with global/HQ stakeholders across different time zones.
- Anticipate scheduling needs and build in prep/buffer time appropriately.
Travel Management
- Plan and coordinate domestic travel across India's four locations as well as international travel, including flights, visas, accommodation, and ground transport.
- Handle last-minute changes and travel disruptions efficiently.
- Manage travel expense reporting and reconciliation.
Meeting & Event Support
- Prepare agendas, coordinate logistics, and ensure follow-up on action items for leadership meetings involving stakeholders across multiple India locations
- Support planning and execution of town halls and other large-scale employee events across locations — including logistics, content coordination, and on-ground/virtual hosting.
- Liaise with internal teams (HR, Facilities, IT, Communications) across sites to ensure seamless execution.
Content & Presentation Support
- Create polished, professional presentations (PowerPoint/Google Slides) for leadership reviews, town halls, and global/HQ meetings.
- Assist with drafting communications, reports, and talking points, often for a global audience.
- Bring strong attention to detail and visual/storytelling sense to leadership decks.
Confidentiality & Stakeholder Management
- Handle sensitive business and personnel information with the highest level of discretion.
- Act as a trusted point of contact between the Country Head, leadership team, and stakeholders across India locations and global HQ.
- Exercise sound judgment in prioritizing requests and escalations.
General Administrative Support
- Manage expense reports, vendor coordination, and office administration as needed, liaising with local admin teams at each location.
- Support ad-hoc projects and initiatives as directed by leadership.
Skills & Experience:
- 6–10 years of experience as an Executive Assistant, ideally supporting C-suite/senior leadership in a multinational organization.
- Prior experience in an India GCC/GIC/COE setup of a UK, Europe, or US-based parent company, with exposure to working across multiple India locations.
- Proven experience managing complex calendars and domestic/international travel for senior executives.
- Strong working knowledge of MS Office/Google Workspace, especially PowerPoint/Slides.
- Demonstrated experience organizing or supporting town halls or large employee events, ideally spanning multiple offices.
- Excellent written and verbal communication skills, with the ability to work comfortably with global stakeholders and different time zones.
- High degree of professionalism, discretion, and emotional intelligence.
- Strong stakeholder management skills — comfortable interacting with senior leaders, global HQ contacts, and external partners.
- Ability to multitask, prioritize, and stay composed under pressure.
- Bachelor's degree and/or Diploma in Secretarial practices preferred.
