Description
Reporting to the Head of People Services, NOAM, the Payroll Analyst, North America, will be a subject matter expert for the region, working as part of the People Services (including payroll) team, liaising across the organization, and maintaining effective working relationships.
The Payroll Analyst, North America, will play an active role in the processing of multiple payrolls via an outsourced, fully managed payroll provision for our US and Canada based employees. The role involves ensuring pay is processed on time, accurately, and in compliance with government regulations and company policy is key.
The jobholder will provide payroll governance, ensuring robust and effective payroll practice and processes are adhered to. To achieve this, the jobholder will be tasked with identifying and implementing changes to enhance current practices and strengthen a robust framework that ensures payroll compliance with statutory and audit requirements.
This position will have the option to be located in either our Hoffman Estates, IL offices or Home-Based USA.
Duties / Responsibilities:
- Builds and maintains working relationships with HR, Finance, and Plant administrators to ensure payroll requirements are fully communicated, understood and adhered to.
- Prepares and maintains accurate records of payroll transactions & ensures data is transferred to 3rd party provider for processing within agreed timelines.
- Checks 3rd party providers payroll output to ensure all data changes have been applied accurately.
- Reviews and approves Payroll, disbursements & garnishments, in line with internal approval routes.
- Analyze pre-payroll reports to identify variances, errors and/or anomalies.
- Routinely checks payroll providers output to ensure it complies with federal, state, and local payroll, wage, and hour laws.
- Maintains and reviews payroll process guides to ensure all payroll related procedures are accurately documented.
- Facilitates continuous improvement by working alongside key stakeholders (HR, finance, C&B) to ensure our systems, processes and procedures develop in line with company driven changes
- Facilitates audits by providing records and documentation to auditors & answering follow-up questions.
- Prepares reports & compiles summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages for multiple stakeholders.
- Assists the finance function to balance the payroll accounts by resolving queries relating to General Ledger reporting.
- Responds to employee data requests within agreed SLA (Service Level Agreement) timelines.
- Adheres to data protection laws at all times, keeping information confidential and sharing only where absolutely necessary.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Required Skills/Abilities:
- Knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
- Experience of processing payrolls using Workday preferred
- Experience of processing payroll via a 3rd party provider
- Must possess excellent organizational skills with the ability to plan a variety of tasks with conflicting demands whilst meeting strict deadlines
- Strong analytical and problem-solving skills.
- Must possess the ability to liaise across the organization and maintain effective working relationships
- Must be an advocate for identifying and delivering continuous improvement
- Must be comfortable working remotely as part of a global team
- Workday HR System experience preferred
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- Bachelors degree in Accounting, Business Administration, Human Resources, or related
- Certified Payroll Professional (CPP) Certificate OR FPC (
- Three to five years of related experience required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.

When determining final compensation, we take into consideration: skillset, job scope, knowledge, prior experience, cost of living, market data, budget availability, and other factors as permitted by law.
The salary range for this position is: $57,000 - $85,000.
