About the Position
Inclusion Factor is looking for a Training Coordinator to join our HR/Training team! This position plays an important role in helping new employees successfully begin their employment, complete required training, and transition into their positions.
The Training Coordinator is responsible for coordinating new hire onboarding, required employee training, compliance documentation, training schedules, and day-to-day communication with employees and managers.
This is a people-focused administrative position that requires strong organization, attention to detail, timely follow-through, and the ability to manage multiple priorities in a busy environment.
Please note: This is a fully in-office position, Monday through Friday, 9:00 AM–5:00 PM. There is no remote or hybrid option for this position.
What You'll Do
New Hire Onboarding
- Coordinate and facilitate new hire orientation and onboarding.
- Schedule and coordinate I-9 appointments and other onboarding activities.
- Prepare onboarding materials and ensure required employment documentation is completed accurately and on time.
- Initiate and monitor background studies, motor vehicle record checks, and other pre-employment requirements.
- Create and maintain employee accounts in required software and training systems.
- Serve as a primary point of contact for new employees throughout the onboarding process.
Training Coordination
- Assign, monitor, and track required online and instructor-led training.
- Coordinate CPR/First Aid, medication administration, and other required training classes.
- Schedule weekly training sessions and communicate training expectations to employees.
- Follow up with employees who have outstanding or approaching training deadlines.
- Verify required training is completed before employees transition to their assigned supervisors.
- Maintain accurate training records and documentation.
- Process training pay accurately and within established payroll deadlines.
Communication & Administrative Support
- Manage the Training Department's shared inbox and respond to emails in a timely and professional manner.
- Respond to employee questions and assist with onboarding and training issues.
- Communicate with employees, managers, instructors, HR, and outside training partners.
- Process onboarding, training, and compliance documents accurately and within established timelines.
- Maintain organized electronic records and compliance files.
- Assist with audits, reporting, and documentation requests.
- Help identify and implement improvements to onboarding and training processes.
What We're Looking For
- High school diploma or equivalent required.
- Associate's or bachelor's degree in Human Resources, Education, Healthcare Administration, or a related field preferred.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple responsibilities, deadlines, and frequent interruptions.
- Strong follow-through and the ability to complete tasks and documentation within established timelines.
- Comfortable responding to emails, phone calls, walk-ins, and employee questions throughout the day.
- Proficiency with Microsoft Office and electronic documentation systems.
- Strong problem-solving skills and the ability to exercise independent judgment.
- Ability to maintain confidentiality and handle sensitive employee information professionally.
- Minnesota 245D experience or knowledge of person-centered practices is preferred, but not required.

The Training Coordinator needs to be someone who can stay organized when the day doesn't go according to plan. You'll have scheduled appointments and projects, but you'll also have employees stopping by with questions, emails that need responses, training issues that need troubleshooting, and deadlines that cannot be missed.
