Description
We’re looking for a highly organised Office Manager to join our Wellington office. This role will primarily focus on ensuring the smooth day-to-day running of our Wellington office, while also providing remote office coordination support for Auckland and additional light Executive Assistant support to senior stakeholders.
This is a varied and visible role suited to someone who enjoys taking ownership of office operations, creating a professional and well-run workplace, and being a key point of contact for employees, visitors, suppliers and senior leaders. Alongside the office management responsibilities, you’ll also support business leaders with diary coordination, travel, expenses and key administrative activities as required.
You’ll play an important role in helping our offices run smoothly, supporting workplace initiatives, coordinating events and visitors, and ensuring our people and clients experience a professional, organised and welcoming environment.
The responsibilities will include:
- Managing the day-to-day operations of our Wellington office, including facilities, supplies, visitors, office coordination and general workplace support.
- Providing remote office coordination support for our Auckland office.
- Acting as a key point of contact for office-related queries, suppliers, building management and internal stakeholders.
- Coordinating office activities, meetings, events, visitors and workplace initiatives.
- Supporting facilities, procurement, health & safety and general office management processes.
- Supporting on-site Board meetings, office moves or workplace projects when required.
- Providing Executive Assistant and administrative support to senior stakeholders, including diary coordination, travel arrangements, expenses and credit card reconciliation.
- Building strong working relationships with APAC senior leaders, cross-functional teams, suppliers and external partners.
- Assisting with wider business projects and team initiatives where required.
What are we ideally looking for in a successful candidate:
- Comfortable working both independently and as part of a broader support services team
- Experience supporting office operations, facilities or office management activities
- Strong stakeholder management skills, with the confidence to engage at senior levels
- Demonstrated ability to handle highly confidential information with discretion, professionalism and sound judgement at all times
- High level of organisation and attention to detail, with the ability to manage competing priorities
- Proficient in Microsoft Office and collaboration tools (e.g. Outlook, Teams, document management systems)
- A proactive, can-do approach and a willingness to take ownership.
- Strong organisational and multitasking skills.
- High attention to detail and a commitment to quality.
- The ability to remain calm and responsive when priorities change.
