- Prepares and maintains files, logs, and records.
- Handles confidential information, including personnel paperwork and correspondence; ensures adherence to confidentiality and all local, state, and federal laws regarding records and records management.
- Develops and maintains filing systems.
- Answers telephones; accepts and relays messages; forwards calls; answers questions; provides information; responds to customer concerns, complaints, and requests; receives service requests.
- Responds to open records requests.
- Enters information into the computer; reads and processes reports; uses the computer to check and correct information.
- Obtains, reviews, and disseminates data.
- Coordinates shipping and receiving of supplies.
- Maintains inventory of all supplies, equipment, materials, and tools, and prepares daily, weekly and monthly cycle counts for inventory accuracy.
- Reviews contracts to ensure vendor compliance.
- Reconciles storeroom inventory against a computer- generated report.
- Prepares fixed asset inventory and capital outlays for budgeting and auditing purposes. Research costs and specifications for equipment purchases and regular inventory.
- Ensures the proper storage, accountability, and warehousing of all supplies and equipment.
- Distributes components, commodities, supplies and equipment to personnel and contractors.
- Creates and completes purchase orders on the purchasing department’s software for supplies and materials.
- Processes purchase orders by accurately comparing the prices, quantities, and materials shipped to the receiving department.
- Expedites purchase orders by verifying the status of delivery of goods ordered with vendors.
- Maintain necessary inventory in the warehouse.
- Researches and resolves discrepancies with unacceptable goods.
- Coordinates, assigns and reviews work and establishes work schedules; maintains standards; monitors status of work in progress; inspects completed work assignments; answers questions; gives advice and direction as needed.
- Processes purchases of equipment and supplies, including clothing, personal gear, station furniture.
- Purchases special items from local vendors.
- Oversees the storage of unused inventory
- Maintains inventory of vehicle maintenance parts and supplies and oversees repairs and maintenance of small gasoline engines.
- Issue supplies, gears, and other items; maintains records.
- Assists in the development of purchasing procedures and policies.
- Audits inventory levels to ensure availability of equipment and supplies.
- Completes special assignments as assigned.
- Responds to emergency events as necessary.
- Performs other related duties as assigned.
Background investigation, including supervised drug screen, post offer/pre-employment medical screen; and verification ofeducation, certifications, and licenses required prior to employment.
- Knowledge of department policies and procedures.
- Knowledge of record keeping, report preparation, filing methods, and records management techniques.
- Knowledge of clerical practices and procedures, such as letter writing and the operation of standard office equipment.
