About This Opportunity
We are seeking an organised and reliable Administration Assistant to work 3 days per week providing essential frontline administrative support for the efficient operation of the Receptions team at the Australian Institute for Bioengineering and Nanotechnology. Working in a busy, collaborative environment, you will provide responsive reception duties, office coordination and administrative support that enables colleagues to focus on research with meaningful impact.
This is a part-time position working Wed, Thurs, Fri per week, with some flexibility for start/finish times and the possibility to work 0.6FTE across 4 days.
Key responsibilities will include:
- Provide high-level administrative support to staff under general supervision, using sound judgement to prioritise activities and meet operational needs.
- Coordinate routine events, meetings and engagement activities, including scheduling, room bookings, documentation, minute-taking, RSVP monitoring and liaison with attendees.
- Assisting with organising student/visitor travel arrangements when required.
- Support efficient day-to-day office procedures, logistics and operations in accordance with relevant administrative protocols, quality assurance systems and standards.
- Liaise with internal and external stakeholders, respond to routine enquiries, welcome and brief visitors, maintain information systems and administer relevant financial transactions in accordance with University policies and procedures.
About You
You will have:
- A Certificate IV or Diploma with relevant work experience, a Certificate III with extensive relevant work experience, or an equivalent combination of relevant education, training and experience.
- Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with diverse stakeholders.
- Demonstrated experience providing responsive, high-quality customer service and building effective working relationships.
- Strong organisational and time-management skills, with the ability to prioritise competing tasks and meet deadlines.
- Well-developed problem-solving skills and a reliable, adaptable approach to day-to-day administrative requirements.
- A high level of proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
- Experience coordinating meetings, events, documentation, visitors and office logistics.
- The ability to follow administrative, financial and quality assurance processes accurately while contributing positively to a supportive and inclusive team.
