JOB SUMMARY 

This position is responsible for coordinating projects and providing administrative support to the Sales & Marketing team. The role partners closely with Marketing management, Creative Services, Legal, Risk Management, and other internal stakeholders to support campaign implementation and ensure alignment with brand standards.

The role oversees the end-of-the-end event development process, including planning and creation, vendor coordination, data management, and invitation execution. It communicates with existing and prospective owners to schedule attendance, provide event details, and support their overall experience. The position also represents Marriott Vacation Club at events, helping to build and maintain guest loyalty.

Key responsibilities include ensuring compliance with eligibility requirements for events and sales presentations, following contract review processes to meet risk management standards, and monitoring events to maintain quality expectations. The role also supports the management team on special projects and ad-hoc tasks, assists colleagues in understanding event roles and responsibilities, and performs general administrative duties such as filing, email correspondence, and document preparation.

JOB SPECIFIC TASKS

Guest Experience and Company Standards 

  • Welcome and greet guests and anticipate and address their needs.

Marketing Operations

  • Promote awareness of brand image internally and externally.
  • Responsible for handling selective administrative duties as requested.
  • Planning for marketing events and road show to existing members and first-time buyers
  • Prepare proposals and marketing briefs. 
  • Maintain strong relationships with all relevant departments, and other stakeholders such as partners and brokers.
  • Assist in managing campaign launch efforts to partners including collateral, communication strategy, training tools and related activities, including creation and approval of artwork with in-house/external graphic designer, within deadlines.
  • Coordinate in obtaining any necessary licenses and legal approval required for marketing campaigns with partners.
  • Coordinate resources required to carry out approved campaigns with the relevant concerns.
  • Coordinate with hotels partner, venders to make sure the smooth process during the event and road show.
  • Follow the established contract review process to ensure that all vendors meet the MVWC risk management requirements.
  • Manage the process with The Agency for brand and legal review of owner communications and vendor contracts.
  • Communicate with owners and potential owners via telephone to set up, answer questions and coordinate their event experience.
  • Explain details and requirements related to attending a sales presentation to owners.
  • Verify that individuals meet eligibility requirements for the event and corresponding sales/tours.
  • Report progress against campaign goals and report on ROI.
  • Partner with Creative Services to draft marketing collaterals.
  • Provide translation services in support of marketing operations as required.
  • Ad hoc digital marketing support and other duties as assigned.
  • Keep current on best practices in timeshare industry and MVCI.
  • Perform general office duties to support Sales - Marketing (e.g., filing, sending emails, typing, faxing).

  • Contact appropriate individual or department (e.g., Sales, Data Administration, Accounting) as necessary to resolve guest calls, requests, or problems. Develop and maintain positive and productive working relationships with other employees and departments.

CANDIDATE PROFILE

Successful candidates should possess knowledge and experience and demonstrate strong leadership and relationship skills as follows:

  • Demonstrable and preferred experience in a marketing position in the industry or similar industry.

  • Fluent English language proficiency required as a minimum and preferred second language in either Mandarin, Thai, Japanese, Bahasa Indonesia. 
  • Proven verbal and written communication skills.
  • Proficiency in the use of computer word processing skills with specific knowledge of Microsoft Excel, PowerPoint and Word.
  • Ability to work under pressure, manage multiple priorities, and be a self-starter.
  • Proven time management skills.
  • Proven ability to work in a team environment and interact with all levels of the organization.
  • Excellent organizational and attention to detail skills.
  • Experience in high volume, fast-paced, results oriented business environments.
